Adding a New Booking
The system allows you to add a new booking for clients through a multi-step form that guides you step by step to select the service, employee, date, and client.
Before You Begin
- Make sure you have the permission to add a new booking in your role.
- Make sure the required services are active with their duration and category set in the system.
- Make sure booking shifts are configured for the relevant employees before you begin.
Steps to Add a New Booking
Step 1: Select the Service
- From the main menu click “Bookings“.
- Click “Add Booking“.
- Select the required service or services according to the booking settings in the system:
- Default service: If the system is set to “Book the Default Service” the service is selected automatically and the add service options appear dimmed.
- One service only: If the system is set to “Book Only One Service” you can select only one service from the active services that have a duration and category. If you attempt to select more than one service the following message appears: “You should select only one service for the booking according to the system settings.”
- Multiple services: If the system is set to “Book Multiple Services” you can select one or more services or packages in the same booking. At least one service must be selected to proceed, otherwise the following message appears: “Please select at least one service for the booking.”
- Click “Next” to proceed to the next step.
Note: If the selected service requires filling in a service form “During Booking” you will be redirected automatically to enter the form data before proceeding. If the form is set to “During Service” you can enter the data later after the booking is confirmed. If the service is included in a price list or promotional offer it is applied automatically.
Step 2: Select the Employee
- Select the employee responsible for delivering the service according to the booking settings in the system:
- No employee required: If the system is set to “No Employee Required” the booking is assigned automatically to the account owner and the employee field will not appear.
- One employee for all services: Select a single employee to deliver all booked services.
- Employee for each service: Select a different employee for each booked service.
Employee Warnings
Warnings may appear on the selected employee in the following cases — hover over the warning to see the reason:
- Block time (break): The booking date and time fall within the employee’s break slot.
- Outside shift: The booking date and time are outside the employee’s booking shift.
- Off days: The booking date and time fall on a weekly day off for the employee.
- Public holiday: The booking date and time fall on a public holiday assigned to the employee.
- Approved leave: The booking date and time fall within an approved leave for the employee.
- Employee busy at this time: The new booking conflicts with another booking already added for the employee.
- Employee doesn’t provide this service: This warning appears when the “Employee for Each Service” setting is selected and the service is not assigned to the chosen employee.
- Click “Next” to proceed to the next step.
Step 3: Select the Date and Time
- From the embedded date calendar select the required day for the booking.
- From the available time slots select the preferred time.
- Click “Next” to proceed to the next step.
Step 4: Select the Client and Complete the Booking
- In the “Client” field search for the client by name, email, or phone number and select them from the dropdown. If the client does not exist in the system click the “+ Client” button to quickly add a new client.
- Enter “Booking Notes” if needed. (Optional)
- Review the “Booking Details” in the summary panel on the right side of the page, which displays the selected services, employee, and date.
- Click “Finish Booking” to save the booking.
Note: You can go back to any previous step at any time by clicking the Previous button or by clicking the required step in the progress bar at the top of the form.
After a successful save a confirmation message appears “Booking Added Successfully” and you are redirected automatically to the booking view page.
Notes
- The booking is added in the branch selected in the booking calendar.
- The add action is recorded in the general activity log.
- Required fields must be filled in, otherwise the following message appears: “This is a required field and could not be empty.”
