What Is the Permission to Exceed the Contracted Quantity, and When Is It Used?
The “Exceed Contract Quantity in Payment Certificate” permission allows you to enter an executed quantity in a payment certificate that is greater than the quantity agreed upon in the contract for the same work item.
When is it specifically used?
In the “New” field within the payment certificate’s work item table, when entering the currently executed quantity for a specific work item, the System adds this quantity to any quantities executed previously (from previously “Approved” or “Invoiced” payment certificates) and compares the total with the contracted quantity for the same work item.
- Without this permission: If the total (new + previous) exceeds the contracted quantity, the System prevents you from proceeding and displays the following message: “The total executed quantity of work item ‘[Work Item Title]’ #[Code] exceeds the contracted quantity. Please request permission from the administrator to proceed.”
- With this permission: You can complete and save the payment certificate normally, even if the executed quantity exceeds the quantity agreed upon in the contract.
Practical purpose: This permission is used to handle real-world cases where the actual executed quantity exceeds the originally contracted quantity, such as due to on-site modifications or an increase in the scope of work, while retaining the default restriction as a control mechanism to prevent unintended quantity entry errors.
