Editing Work Item Template and Updating Unit Cost
This screen allows you to edit the details of an existing Work Item Template, configure its Bill of Quantities (materials, services, and their costs), and update the unit cost of all materials included in it at once.
Before You Start, make sure of the following:
- This screen requires either the “Edit & Delete All Work Item Templates” or “Edit & Delete His Own (Created) Work Item Templates” permission.
- Activate the Construction application by navigating to Settings from the main menu and selecting Apps Manager.
Steps
- From the main menu, click Construction.
- Select Work Item Templates.
- Click the Actions icon next to the Work Item Template you want.
- Select Edit, and the form displays the Template Information section as follows:
- Template No.: Automatically generated by the system and cannot be edited.
- Template Title (Mandatory): Text field.
- Work Item (Mandatory): Dropdown displaying active Work Items defined in inventory.
- Quantity: Read-only and displays the value “1” of the selected unit.
- Status: Switch button, with “Active” as the default value.
- Default Template?: Switch button, with “Disabled” as the default value.
- Next, edit the Bill of Quantities:
- Quantity (Mandatory, numeric)
- Unit (Mandatory, dropdown displaying unit templates)
- Unit Cost: Automatically populated either from the inventory average cost or the last purchase order, based on the “Unit Price Calculation” setting in Construction settings.
- Subtotal: Automatically calculated for each item (Unit Cost × Quantity) and is read-only.
- A summary appears below the table in the format: “Total (1 [Work Item Unit] of [Work Item Title])”.
- You can select one or more rows using the Select action to perform actions such as Delete and Update Unit Cost.
- The Update Unit Cost action is available on the Add, Edit, and View Work Item Template screens. Clicking it updates the unit cost of the template materials either from the average cost or purchase price, according to the “Unit Price Calculation” setting under Construction settings → General Settings card → Pricing section.
- Click Save to save the changes.
How the System Works
- The unit cost is automatically updated when entered based on the “Unit Price Calculation” setting, with the option to manually modify it afterward.
- Editing a Work Item Template does not affect cost sheets that used this template before the edit; those cost sheets remain unchanged.
- When attempting to leave the screen before saving, a warning message appears indicating that the changes made may not be saved.
Validation Rules
- Changes cannot be saved without completing a mandatory field.
- Upon successful saving, the message “Work item template updated successfully” appears, and you are redirected to the template view screen.
