Viewing a Reservation File

  1. From the main menu, click on “Reservation Files”.
  2. Select from the menu “Reservation Files”.
  3. Click on the desired reservation file to view it.
  4. The system will display the print related to the reservation file along with a set of actions and windows.
    • Click on the “Select Status” button to determine the status of the reservation file. The status list can be adjusted by clicking on “Edit Status List”.
    • Click the “Add” button to start recording operations on the reservation file.
    • Use the buttons at the top of the reservation file view window to apply various actions:
      • Edit: To make modifications to the reservation file.
      • Print: To print the reservation file directly from the account.
      • PDF: To download a copy of the reservation file in PDF format to the operating platform.
      • Add Note/Attachment: To start recording notes or uploading attachments within the reservation file.
      • Schedule Appointment: To set a new appointment related to the reservation file.
      • Clone: To create a new reservation file identical to the current reservation file.
      • Delete: Deletes the reservation file including all operations saved inside it (invoices, purchase invoices, incomes, expenses, etc.).
      • Prints: Displays a list of prints added to the reservation file.
    • Operation Windows: A set of windows that provide a summary of operations conducted within the reservation file:
      • Invoices: Displays the sales invoices created within the reservation file.
      • Purchase Invoices: Shows the purchase invoices created within the reservation file.
      • Incomes: Displays the income vouchers added within the reservation file.
      • Expenses: Shows the expense vouchers added within the reservation file.
      • Requisitions: Displays the requisitions created within the reservation file.
      • Financial Transactions: A table that shows the total revenue and the total costs related to the reservation file, along with the difference in the “End of Period Balance”.
      • Transactions Summary: A summary statement of the client regarding their financial movements in the reservation file.
        • Note: It is required to show any of these windows to add at least one transaction related to it.
  • Note: To use reservation files, ensure that your account falls under the business industry of “Travel and Tourism Companies”.
