Viewing the Project File

This screen allows the system user to review all the details of a specific project, manage its linked entities, and take the appropriate actions toward it.

Before You Begin

  • You must have the “View All Projects” permission or the “View His Own (Created) Projects” permission to be able to view the project.

Steps to View the Project File

  1. From the sidebar menu, click on “Construction,” then go to “Projects.”
  2. Click the “View” button for the required project.

Content of the View Screen

Header:

  • Displays the project’s title and its code.
  • Displays the name of the client linked to the project.
  • Status: appears as a dropdown button next to the title, and can be manually changed from the list. The list also contains an “Edit Statuses List” button to customize the available statuses.
  • Add: a dropdown list showing the entities that can be created directly within the project, including: Cost Sheet, Construction Quotation, Contract, Payment Certificate, New Invoice, Create Credit Note, New Estimate, Add Payment Credit, Add Expense, New Purchase Invoice, New Advanced Payment, Purchase Refund, Inbound Requisition, Outbound Requisition, Add Existing Transaction, Add Time,  Add Entry, and Stock Request.
  • Navigation buttons: to move between the previous and next projects.

Action Buttons:

  • Edit: to edit the project’s data.
  • Print: to print the project’s details.
  • PDF: to view a PDF version of the project.
  • Email: to send the project’s details to the client via email.
  • Add Note/Attachment.
  • Schedule Appointment: only appears when the Client Follow-Up app is enabled.
  • Assign Transaction: to assign an existing transaction (invoice, expense, journal entry, etc.) to the project.
  • Clone: to create an identical copy of the project.
  • Delete: to delete the project.

Tabs:

  • Details: displays the “Construction Project More Information” section, including: the client, the duration (displayed directly, e.g., “3 months”) with a separate timeline showing the start date and end date, the cost tracking level, the budget, the cost center (with a hyperlink to open it directly), the completion percentage (progress bar + percentage), the assigned employees, tags, attachments, and description. It also displays the “Project Status” section: if there’s no contract linked yet, an empty state appears with the message “No contract yet,” along with an explanatory note and an “Add Contract” button.
  • Bid Details: only appears if the project is linked to a bid, and displays: the bid’s title and its code, valid until, the client (with a photo or default icon, name with a link to their number, and email), description, attachments, and the bill of quantities (with “Item” and “Quantity” columns).
  • Cost Sheets (count): only appears when a cost sheet has been created or added to the project, showing their count next to the tab name. The tab displays a table with the following columns: sheet number, client (with a thumbnail photo, name, and number), linked to (the linked project’s name and code), duration, cost, total price (with “Subtotal” below it), created by (the employee’s photo, name, and creation date), and status (e.g., “Approved”). The status column header has a “Sort” button to sort the rows.
  • Construction Quotations (count): only appears when a contracting quotation has been created or added to the project, showing their count next to the tab name. The tab displays a table with the following columns: contracting quotation number, client, linked to, price, created by, and status (e.g., “Approved”), with the same “Sort” button on the status column.
  • Activity Log: displays a timeline of the project’s activities and updates, grouped under date labels (e.g., “Today”). Each item in the log displays: the action’s description, the time of the action, the photo and name of the user who performed it, and the branch from which the action was performed.
  • Additional tabs that only appear when there’s related data:
    • Contracts: when a contract has been created or added to the project.
    • Work Items: when there’s an active contract; if unavailable, a hint appears: “To view work items, please add an Active Contract.”
    • Requisitions: when there are requisitions linked to the project or its work items.
    • Payment Certificates: when a payment certificate has been created for the project.
    • Invoices: when there are invoices, advance payments, or credit notes on the project.
    • Payments: displays advance payments and payments on invoices.
    • Expense & Income: when there are expenses or incomes added to the project.
    • Purchases: when there are purchase invoices linked to the project or its work items.
    • Entries: when there are journal entries linked to the project’s invoices.

How the System Works

    • The “Project Status” section depends on whether a contract is linked to the project; if none exists, an empty state appears directing the user to add a contract.
    • The “Work Items” tab depends specifically on the existence of an active contract; without one, a guiding hint appears instead of the content.
    • The remaining tabs (Contracts, Requisitions, Payment Certificates, Invoices, Payments, Expense & Income, Purchases, Entries) appear or disappear automatically based on the existence of actual data linked to the project or its work items — they don’t appear as empty tabs.
  • The “Bid Details” tab only appears if the project originally resulted from converting a bid (rather than being created directly).
