Rental Configurations

The Rental and Reservation Configurations page allows you to control how rental invoices are generated and displayed, and configure how clients create and manage reservations through the client portal.

Accessing the Page

  • From the main menu, go to Rental and Unit Management.
  • Select “Settings.
  • Click on “Rental Configuration.

Rental Invoicing Configuration

This section controls how rental invoices are generated and displayed in the system.

  • Display Reservation Invoice Items: Choose how rental days should appear on the invoice, either grouped as one line or listed day by day:
    • Single Line Item: Shows the total reservation duration as a single item in the invoice with the total cost for the entire reservation period.
    • Multiple Line Items: Splits the reservation into individual days, with each day listed as a separate item in the invoice. For example, a 10-day reservation will appear as 10 individual daily items.
  • Generated Invoices Status for Reservation Orders: Choose the status automatically assigned to invoices generated from reservation orders:
    • Draft: Draft invoices have no effect on journal records or the chart of accounts until they are manually converted into an actual invoice.
    • Issued: Invoices are issued with an “Unpaid” status until the client makes the payment, at which point they automatically change to “Paid” status.

Client Self-Reservation

This section controls how clients create and manage reservations through the client portal.

  • Client Online Self-Reservation: Toggle this option on to allow clients to create reservation orders directly from the client portal without staff intervention.
  • Client Online Payment: This option appears when “Client Online Self-Reservation” is enabled. Toggle it on to allow clients to pay for their reservation order invoices through the client portal. You can manage the available payment methods by clicking “Manage Payment Methods.
  • Default Status for Client Reservation Order: This option appears when “Client Online Self-Reservation” is enabled. Select the status that will be automatically assigned to reservation orders created by clients through the client portal. You can manage available statuses by clicking “Manage Reservation Statuses“.
  • Extra Fields for Online Reservation Form: Select any additional fields you want to display to clients when they submit a reservation through the client portal. You can create and manage custom fields by clicking “Manage Custom Fields.
