Changing the Project Status

This feature allows the project’s status to be updated automatically based on the actions taken during the project’s execution cycle, in addition to allowing it to be changed manually, making it easier for the user to track the project’s progress.

Before You Begin

• A project must have already been created in the system.
• Automatic updates depend on the existence of entities linked to the project (a payment certificate, a contract), so make sure these entities are linked to the project first to activate the automatic update mechanism.

Steps to Control the Project Status Manually

1. From the sidebar menu, click on “Construction,” then go to “Projects.”
2. Click the “View” button for the required project.
3. Click the status button at the top of the project page.
4. Select the required status from the dropdown list (Draft, In Progress, On Hold, Completed, Canceled).
5. The list of available statuses can be customized by clicking “Edit Statuses List” shown in the same list.

How the System Works

Default Status Upon Creation:
When a project is created for the first time, its default status is “New” (or “Draft” depending on the creation method), and this status appears on the status button at the top of the project page.

Automatic Status Update:
The system automatically updates the project’s status in the following cases:

• In Progress: the project’s status automatically changes to “In Progress” once the first payment certificate linked to the project is approved (changed to “Approved” status).
• Canceled: the project’s status automatically changes to “Canceled” if the status of the linked contract changes to “Canceled.”
• Completed: the project’s status automatically changes to “Completed” once both conditions are met: the project’s progress percentage reaches 100%, and the linked contract’s status changes to “Closed.”

Logging Updates in the Activity Log:
Any automatic update to the project’s status is logged under the project’s “Activity Log” tab, in the same way any manual status change made by the user is logged.
