Edit Bid

This screen allows you to edit the data of an existing bid and update its Bill of Quantities, as long as it is not already linked to a Cost Sheet, Quotation, or Project.

Before you start, make sure of the following:

  • This screen requires either the “Edit & Delete All Bids” or “Edit & Delete His Own (Created) Bids” permission.
  • Activate the Construction app by navigating to Settings from the main menu and selecting Apps Manager.

Steps

  1. From the main menu, click Construction.
  2. Select Bids.
  3. Search for the required bid.
  4. Click the actions button next to the required bid, then select Edit.

Bid Details

  • The previously saved bid data appears in the following fields, and you can review and modify any of them:
    • Bid Title (Mandatory): Text field.
    • Bid No.: Automatically generated by the system.
    • Client (Mandatory): Searchable autocomplete list. You can search by the client’s name, code, e-mail, or mobile number; the list displays active clients only.
      • If the Branches app is activated, the list displays clients related to the current branch only unless clients are shared across branches, in which case it displays clients across the entire account.
    • Valid Until (Optional): Date.
    • Description (Optional): Text field.
    • Attachments (Optional): The maximum file size is 25 MB. Allowed formats are PNG, JPEG, GIF, BMP, RAR, and PDF.

Bill of Quantities

  • The Bill of Quantities consists of three hierarchical levels:
    • Main Tender (the highest level in the hierarchy).
    • Sub Tender (falls under the main tender or another sub tender, up to 3 levels).
    • Work Item (the final execution level, associated with an item defined in Inventory and having a quantity and unit of measurement. No sub-item can be placed under it).
  • The previously saved Bill of Quantities lines are displayed, and you can modify the following data in any of them:
    • Item (Mandatory; if the line is at the work item level, the field changes to a dropdown displaying active work items defined in Inventory, restricted to the current branch if the Branches app is activated and the work items are not shared).
    • Quantity (Mandatory; appears only on a work item line).
    • Unit (Mandatory; appears only on a work item line; a dropdown containing unit templates defined in the system).
  • Select multiple lines to perform bulk actions on them. A bar appears below the table showing the number of selected lines, with Delete, Expand Group, and Collapse Group buttons.
  • Click Delete to delete the selected line or lines.
  • Click Collapse Group or Expand Group to collapse or display the selected item and the elements contained within it.
  • You can drag any item along with its child items and drop it at a similar level within the hierarchy to reorder it.
  • After making the changes, click Save to save the bid with the status “Issued”, Save as Draft to save it as a draft, or Cancel to discard all changes.

How the System Works

  • A bid cannot be edited if a Cost Sheet or Quotation has been created and linked to it.
  • A bid that has already been converted to a Project cannot be edited.
  • When the bid is successfully edited and saved, the action is recorded in the Activity Log.
  • When attempting to leave the screen before saving, a warning message appears indicating that the changes made may not be saved.

Validation Rules

  • When a mandatory field is left empty, the text “Required” appears next to it.
  • Main tender titles at the same level and under the same parent must be unique. When a duplicate is entered, the message “Title should be unique” appears.
  • When one or more lines containing sub-items are deleted, a confirmation dialog appears before the deletion is performed.
