How does the Bill of Quantities work in a work item template?

The Bill of Quantities represents the core section of the work item template screen, where all the materials and services needed for a single unit of the work item are defined.

For each row in the table:

  • Item (required): selected from a list showing the materials and services defined in the system along with their SKU, with the ability to search by name or code, or add a new material/service directly from the same list.
  • Quantity (required): a numeric field specifying the required quantity of this item per unit of the work item.
  • Unit (required): selected from the unit templates defined in the system, with the ability to add a new unit directly.
  • Unit Cost: filled in automatically (from the average inventory cost or the last purchase order, based on the “Unit Price Calculation” setting), and can be edited manually.
  • Subtotal: read-only, automatically calculated (Subtotal = Unit Cost × Quantity).

How the Table Works:

  • A summary appears below the table showing the Total in the format: “Total (1 [work item unit] of [work item name]).”
  • More than one row can be added by clicking “Add,” or one or more rows can be selected via the “Select” option to perform bulk actions on them, such as deletion.
  • When the template is later used within a bid’s cost sheet, this table (defined for a single unit) is automatically multiplied by the actual quantity required in the project, updating the quantities of all materials and services at the same rate.
