Creating Cost Sheet from Project File
You can create a cost sheet for a construction project directly from the project page. The project, client, budget, duration, dates, and Bill of Quantities are filled automatically. This guide also explains choosing the quotation on the cost sheet, and what happens when you approve it.

Data filled automatically
| Field | Source |
|---|---|
| Project | The project you opened the form from. It can’t be changed. |
| Client | The project’s client. It can’t be changed. |
| Budget | The project’s budget, if any. |
| Duration and dates | The project’s duration in the project’s duration unit, or in months if none is set; the start date; and the end date from the project’s delivery date. |
| Bill of Quantities | The items of the bid linked to the project, if the project was created from a bid. |
Note: After saving, the cost sheet appears in the Cost Sheets tab on the project page.
Choosing the quotation
- The Construction Quotation field is a dropdown without search that lists the quotations of the same project. On a cost sheet linked to a bid, it lists the bid’s quotations. On an unlinked cost sheet, it lists the quotations that aren’t linked to a project or a bid.
- The list doesn’t show quotations with the Contracted status, or quotations linked to another cost sheet.
- If no suitable quotation exists, a message such as No quotation found on the project appears.
Approving the cost sheet
When you click Approve on a cost sheet with the Issued status, a confirmation message appears with a line that explains the approval’s effect on the quotation:
| Case | Extra line in the confirmation message |
|---|---|
| The cost sheet has no quotation | By Approving Cost Sheet #number, a Quotation will be created for cost sheet #number. |
| The cost sheet has a quotation | By Approving Cost Sheet #number, Quotation #number will be updated. |
FAQs
Why doesn’t the quotation appear in the dropdown?
Because the list shows only the quotations of the same project or bid, and doesn’t show quotations with the Contracted status or quotations linked to another cost sheet.
Can I change the quotation after contracting?
No. The quotation field becomes read-only on a cost sheet with the Contracted status.
