Adding Income from the Project File
The system allows you to add an income (payment receipt) directly from the project file, with the option to select one or more invoices linked to the project to automatically settle their outstanding retention amount, without needing to perform the settlement manually. This guide explains when the invoice selection window appears and how the income form behaves in both cases (with or without selected invoices).
When the Invoice Selection Window Appears
The popup appears only if the project has linked invoices, and those invoices include a retention amount that has not yet been settled through a previous income.
Steps to Add
- From the main menu, click on “Construction”, then click on “Projects”.
- Click the “View” action for the desired project.
- Click the “Add” button, then select “Add Income” from the list.
Invoice Selection Window Content
A window titled “Add Income” appears, containing:
- An informational message: “Select invoices to create an income and automatically settle their related retention amounts. If no invoices are selected, a free income will be created.”
- A table of eligible invoices, with the following columns:
- Invoice Code.
- Retention Amount.
- Date.
- Total.
- A checkbox next to each invoice, to select one or more invoices.
- Note: the list shows only invoices linked to the project that include a retention amount not yet settled by a previous income.
Window Buttons
- Cancel: closes the popup, keeping you on the project view screen.
- Confirm: redirects you to the income creation form.
Income Form
When No Invoices Are Selected
The Add Income form appears in its usual form, exactly as it would when adding a regular income from the workflow, with no additional restrictions.
When One or More Invoices Are Selected
- The Amount field is automatically filled with the sum of the retention amounts of all selected invoices, and cannot be edited by the user.
- The Sub-Account is automatically set to the retention account of the client linked to the project (if one exists).
- The “Recurring” option appears dimmed, and cannot be enabled.
Income Impact on Invoices
- When the income is saved, the retention amounts of the selected invoices are automatically settled.
- The resulting income appears within the “Payment Receipts” tab on the project view screen.
Restriction on Deleting Settled Invoices
An invoice whose retention amount has been settled through an income cannot be deleted; if deletion is attempted, the message appears: “Invoice #code can’t be deleted. Its retention value is settled with income.”
