Rules for Linking Cost Sheets, Quotations, and Contracts to a Project

This article explains the restrictions applied to a Construction Quotation and Cost Sheet after they are approved and linked to a project contract, to prevent conflicts between approved data and the existing contract. Once an approved Quotation is linked to an active or closed contract, certain actions on the Quotation and its linked Cost Sheet become subject to specific rules that differ from the standard behavior applied before either is linked to a contract.

Before you start

Make sure the Construction app is activated by navigating to Settings from the main menu and selecting Apps Manager.

How the System Works

Under normal circumstances, when a new Construction Quotation is approved for a specific Cost Sheet, any previously “Approved” Construction Quotation on the same Cost Sheet is automatically changed to “Rejected”.

• If the “Approved” Construction Quotation is linked to a contract with the status “Active”, “Canceled”, or “Closed”, its status does not change at all (it remains “Approved”), and no other Quotation can be approved for the same Cost Sheet afterward.

Validation Rules

• When attempting to delete an approved Cost Sheet that is linked (through its Quotation) to an active/canceled/closed contract, the message “You can’t delete Cost Sheets linked to a Contract” appears.
• When attempting to edit this Cost Sheet or update its status, the message “Changes to the Cost Sheet will only affect the project budget; they will not affect the Contract or the Construction Quotation linked to it.” appears.
  • In other words, editing the Cost Sheet after it has been approved and linked to a contract is not blocked, but any changes made to it afterward will not be reflected in the linked Contract or Construction Quotation and will only affect the project budget.
