Viewing and Searching the Credit Notes List

The system allows you to view all credit notes in a unified list with the ability to search, filter, and sort for quick access to any credit note.

Before You Begin

  • Make sure you have the permission to view credit notes under the Sales permissions in your role.

Steps to View the List

  1. From the main menu click “Sales“.
  2. Click “Credit Notes“.
  3. A list of all credit notes appears sorted from newest to oldest.

List Elements

Each row in the list displays the following information:

  • Credit Note Number and Date: The automatic serial number and the credit note issue date.
  • Client: The client’s name and number with a link to navigate directly to their profile.
  • Created By: The name of the staff member who created the credit note.
  • Creation Date: The date and time the credit note was created.
  • Total: The credit note value in the account currency.

Search and Filter

The basic filters appear directly at the top of the list:

  • Client: Search by client name, email, or phone number.
  • Invoice Number: Search by a specific credit note number.

To view additional filters click Advanced Search:

  • Contains Item: Search by products or services within the credit note.
  • Currency: Filter by credit note currency.
  • Total Greater Than / Less Than: Set a value range.
  • Date: Set a credit note date range or choose from ready-made options (Last Month, Last Year).
  • Due Date: Set a due date range.
  • Source: Filter by creation source — Mobile App, API, Desktop App, Salla.
  • Custom Field: Search within additional field values.
  • Creation Date: Set a date range for when the record was created in the system.
  • Invoice Type: Sales Invoice, Advance Payment Invoice, Debit Note.
  • Client Type: Individual or commercial.
  • Delivery Status: Partially Received, Partially Rejected, Under Delivery, Received, Rejected.
  • Added By: Filter by the creating user.
  • Sales Representative: Filter by the assigned sales representative.
  • Session: Search by the associated point of sale session number.
  • Order Source: Filter by the original order channel or source.

After selecting the filters click “Search” to apply them, or click “Clear Filter” to clear all filters and return to the full view.

Available Actions on Each Credit Note

Click the ··· icon next to any credit note to access the following actions:

  • View: Open the credit note details page.
  • Edit: Edit the credit note details.
  • Send to Client: Send the credit note to the client via email.
  • PDF: Download the credit note as a PDF.
  • Image: View the credit note as a JPEG image.
  • Delete: Permanently delete the credit note.

Bulk Actions

You can select more than one credit note at once using the checkboxes then execute the following bulk actions from the actions menu:

  • Delete: Delete the selected credit notes in bulk.
  • Print PDF: Download a PDF for all selected credit notes.
  • Export: Export the selected credit notes to an Excel file.

To select all click the checkbox in the list header and choose:

  • All (Current Page): Select only the records on the visible page.
  • All (All Pages): Select all records matching the selected filters.

Notes

  • Clicking on the credit note number or anywhere in the row takes you to the credit note details page.
  • Clicking on the client name takes you to the client profile.
  • A new credit note can be created directly from this page by clicking the “Create Credit Note” button at the top left of the screen.
  • If you have incomplete credit notes an “Incomplete” icon appears at the top of the page — click it to access them and complete or delete them.
  • The total number of results appears at the top of the list. You can navigate between pages using the navigation buttons or by entering the page number directly.
