Adding a New Product While Creating an Invoice or a Stock Transaction Without Leaving the Page
The system lets you add a new product while creating the transaction directly, without leaving the page or losing the data entered. This guide explains how to add it, the pages that support it, and the conditions required for that.
Pages That Support Adding a Product While Creating
- The sales invoice, the quotation, and the sales order.
- The credit note, the refund invoice, and the debit note.
- The purchase invoice, the purchase order, the purchase quotation, and the purchase credit note.
- Stock requisitions (the addition requisition, the issue requisition, and the transfer).
Method One: From the Products List
- In the lines table, click the arrow in the Item field on the required row, and the products list appears.
- Search for the product in the Search for Products field.
- If the product doesn’t exist, click Add New Product at the bottom of the list.
- The Add New Product window appears, and the name written in the search field is transferred to it automatically.
- Complete the product data (price, category, stock tracking, taxes, and so on), then click Save.
- The window closes, and the new product is added to the line in the document directly, and you can continue entering the quantity and price.
Method Two: From a Manually Written Line
- Write the product name directly in the Item field.
- If there is no matching product, an orange warning message appears below the line titled Line Not Added (Add New Product).
- Click the message, and the Add New Product window appears with the written name in it.
- Complete the data and click Save, and the line is linked to the new product.
⚠
Warning: A line written manually without being linked to a product is considered a free-text line, so it doesn’t affect stock, and doesn’t appear in the product reports. Therefore it is recommended to add the product through the warning message before saving the document.
Required Conditions
| Condition | Explanation |
|---|---|
| The Permission to Add Products | The Add New Product button appears only to a user who has the permission to add a new product. The permission is granted from Employee Roles. |
| Free Entry | To write the line name manually, the Free Entry and Editing Item Data in the Invoice option must be allowed from Invoice Settings. And when it isn’t allowed, only Method One is used. |
Notes
- The product is added to the products list permanently, and it can be edited later from the products page.
- When adding a stock-tracked product during a purchase invoice or an addition requisition, it is preferable to leave the opening quantity empty in the product window, because the quantity will be added through the document itself, to avoid duplicating the quantity.
- If the window is closed without saving, the product isn’t added, and the document’s data stays as it is.
