Viewing Deleted Transactions (Recycle Bin)

Deleting transactions in sales and purchases is now a soft delete rather than a permanent one — the deleted transaction moves to the “Recycle Bin” and remains recoverable for 90 days, protecting you from data loss in the event of accidental deletion.

Before You Begin

Accessing the Recycle Bin requires one of two new permissions, which are disabled by default for all roles:

  • Manage Deleted Sales Transactions: Found under the Sales permissions section, covering: sales invoices, sales refunds, credit notes, and debit notes.
  • Manage Deleted Purchases Transactions: Found under the Purchases permissions section, covering: purchase invoices, purchase refunds, debit notes, and credit notes.

Steps to View the Recycle Bin

  1. Navigate to the desired transaction list (e.g., “Sales”“Manage Invoices”, or “Purchases”“Purchase Invoices”).
  2. Click the “Recycle Bin” icon at the top of the list next to the create button. The icon is always visible to users with the required permission, even if the bin is empty.
  3. The “Deleted Items” list displays the deleted transactions with the same columns and filters as the main list, plus two additional columns:
    • Deletion Date: The date the transaction was soft-deleted.
    • Days Remaining: The number of days left before automatic permanent deletion (out of 90 days).
  4. Search for the required transaction using the filters, then perform the desired action: View, Restore, Clone, or Permanently Delete.

How the System Works

  • When a transaction is deleted from the view screen or the list actions, it is soft-deleted and moves to the Recycle Bin with its full data and original number intact, and the deletion is recorded in the activity log.
  • The deleted transaction disappears from the entire system: the main list, client and supplier balances, cost centers, and all sales, purchases, accounting, and client reports — it does not appear in any results or totals.
  • The transaction’s journal entries change to “Draft” status, its inventory movements are deleted, while its payments are not deleted but change to a new “Suspended” status.
  • The sequential number of a deleted transaction is not reused for new transactions, and if numbering is set to “Unique,” it cannot be entered manually either.
  • After 90 days the transaction is permanently and automatically deleted along with its journal entries and payments, with no prior notification.
  • If the Branch feature is enabled, the Recycle Bin displays only the current branch’s transactions, consistent with the main list.

Validation Rules

  • Existing deletion prevention conditions remain in effect as-is: transactions linked to payments, stock entries, or notes cannot be deleted, with the same existing messages.
  • Transactions that have been submitted or approved by a tax authority (ZATCA, Egyptian Tax Authority, or others) cannot be deleted — either permanently or as a soft delete.
