Cloning or Permanently Deleting a Deleted Transaction
In addition to restoration, the Recycle Bin provides two further options: cloning the transaction as a new active transaction, or permanently deleting it without waiting for the retention period to expire.
Cloning a Deleted Transaction
- Navigate to the desired transaction list (e.g., “Sales” → “Manage Invoices”, or “Purchases” → “Purchase Invoices”).
- From the transaction list, click the “Recycle Bin” icon.
- From the Recycle Bin, click “Clone” from the transaction’s actions or its view screen.
- Cloning works the same as cloning any regular transaction — a new active transaction is created with a new sequential number and is not placed in the Recycle Bin.
- Cloning is the available solution for transactions that fall within a closed financial period and cannot be restored.
- Cloning requires the “Add” permission for the transaction type in addition to the manage deleted transactions permission.
- Cloning is available for one transaction at a time and is not available as a bulk action.
Permanently Deleting a Transaction
- Navigate to the desired transaction list (e.g., “Sales” → “Manage Invoices”, or “Purchases” → “Purchase Invoices”).
- From the transaction list, click the “Recycle Bin” icon.
- From the Recycle Bin, click “Permanently Delete” from the transaction’s actions or its view screen.
- A confirmation message appears: “Are you sure you want to permanently delete [entity]? This action cannot be undone.”
- After confirmation the message appears: “[Entity] permanently deleted successfully.”
- Permanent deletion cannot be undone — the transaction is completely removed, consistent with the previous deletion behavior.
- The system supports bulk permanent deletion by selecting multiple transactions, with the confirmation message: “Are you sure you want to permanently delete [N] items? This action cannot be undone.”
- Permanent deletion actions are recorded in the activity log.
