Viewing and Searching the Refund Invoices List
The system allows you to view all refund invoices in a unified list with the ability to search, filter, and sort for quick access to any refund.
Before You Begin
- Make sure you have the permission to view refund invoices under the Sales permissions in your role.
Steps to View the List
- From the main menu click “Sales“.
- Click “Refund Receipts“.
- A list of all refund receipts appears sorted from newest to oldest.
List Elements
Each row in the list displays the following information:
- Refund Number and Date: The automatic serial number and the refund issue date.
- Client: The client’s name and number with a link to navigate directly to their profile.
- Created By: The name of the staff member who added the refund.
- Sales Representative: The sales representative associated with the refund.
- Last Payment Date: The date and time of the last payment operation associated with the refund.
- Total: The refund value in the account currency.
- Status: The delivery or payment status — Under Delivery, Received, Rejected, Unpaid, Paid, and others.
Search and Filter
The basic filters appear directly at the top of the list:
- Client: Search by customer name, email, or phone number.
- Invoice Number: Search by a specific refund number.
To view additional filters click Advanced Search:
- Contains Item: Search by products or services within the refund.
- Currency: Filter by refund currency.
- Total Greater Than / Less Than: Set a value range.
- Payment Status: Unpaid, Partially Paid, Paid, Refunded, Partially Refunded, Overpaid, Draft, Due.
- Date: Set a refund date range or choose from ready-made options (Last Month, Last Year).
- Due Date: Set a payment due date range.
- Source: Filter by the refund creation source — Mobile App, API, Desktop App, Salla.
- Custom Field: Search within additional field values.
- Creation Date: Set a date range for when the record was created in the system.
- Invoice Type: Sales Invoice, Advance Payment Invoice, Debit Note.
- Client Type: Individual or commercial.
- Delivery Status: Partially Received, Partially Rejected, Under Delivery, Received, Rejected.
- Added By: Filter by the creating user.
- Sales Representative: Filter by the assigned sales representative.
- Session: Search by the associated point of sale session number.
- Order Source: Filter by the original order channel or source.
After selecting the filters click “Search” to apply them, or click “Clear Filter” to clear all filters and return to the full view.
Sorting Results
Click the Sort By button at the top left of the list to sort by:
- Client: Ascending alphabetical order.
- Creation Date: Descending order.
- Number: Ascending numerical order.
- Payment Status: Ascending order.
- Date: Descending order.
Available Actions on Each Refund
Click the ··· icon next to any refund to access the following actions:
- View: Open the refund receipt details page.
- Edit: Edit the refund details.
- Send to Customer: Send the refund receipt to the customer via email.
- PDF: Download the refund as a PDF.
- Image: View the refund as a JPEG image.
- Delete: Permanently delete the refund.
Bulk Actions
You can select more than one refund at once using the checkboxes then execute the following bulk actions from the actions menu:
- Delete: Delete the selected refunds in bulk.
- Print PDF: Download a PDF for all selected refunds.
- Export: Export the selected refunds to an Excel file.
To select all click the checkbox in the list header and choose:
- All (Current Page): Select only the records on the visible page.
- All (All Pages): Select all records matching the selected filters.
Notes
- Clicking on the refund number or anywhere in the row takes you to the refund details page.
- Clicking on the customer name takes you to the customer profile.
- The total number of results appears at the top of the list. You can navigate between pages using the navigation buttons or by entering the page number directly.
