Viewing the Offers List and Their Statuses

This screen allows the sales management user to view all promotional offers in one place, with the ability to search, filter, and sort, to easily track and manage offers across the system.

Before You Begin

  • The “Offers” app must be enabled from the “Apps Manager” screen; otherwise, the “Offers” card won’t appear within the Sales Settings screen.

Steps to View the Offers List

  1. From the sidebar menu, click on Sales”, then go to “Sales Settings”.
  2. Click on the “Offers” card.

Actions on the Offers List

Pagination:

  • The results counter appears at the top right of the screen in the format “1-5 of 5,” and the page counter in the format “Page 1 of 1,” with navigation arrows (< >) between the previous and next page.

Bulk Selection:

  • Click the general checkbox next to the pagination counter to open a menu with three options:
    • “None”: to deselect all offers.
    • “All (Current Page)”: to select all offers on the displayed page only.
    • “All Filtered (All Pages)”: to select all offers matching the current filter across all pages.
  • Once selected, an “Actions ([count] selected)” button appears; click it and choose “Delete” to delete all selected offers at once.

Quick Filter by Status:

  • Click one of the tabs at the top of the screen: “All,” “Active,” “Inactive,” or “Expired.”

Add a New Offer:

Search and Filtering

Click “Show” to display the search and filter fields, or “Hide” to hide them.

Two modes are available for displaying the filter fields, which can be toggled via the button next to “Hide”:

Simple Mode (default):

  • Search: by name or code.
  • Select Type: a dropdown to select the offer type.
  • Valid From: to specify the validity start date.

Advanced Mode (by clicking “Advanced”):

  • Adds an additional “Valid To” field, to specify a full validity date range (from and to together).
  • The remaining fields (Search, Select Type, Valid From) stay the same.

After specifying the required search criteria, click “Search” to apply them, or click “Clear All” to clear all search criteria and return to the full view.

Offers List Display

The screen displays all offers in a table that includes the following columns:

  • Name: displays the offer’s name, with the offer code shown directly beneath it (e.g., “offer5” with “#00005” below it). Clicking the offer’s name opens its details view screen.
  • Type: displays the offer type.
  • Availability: displays both the “From” and “To” dates within the same cell.
  • Status: shows the offer’s status (Active, Inactive, Expired).
  • Sorting: click the “Sort” icon at the top of the table to open a menu with three options: sort by Name, sort by Valid From, or sort by Valid To.
  • Actions specific to each offer:
    • More menu (…): when clicked, opens a menu containing the following actions:
      • View: opens the offer’s details in view-only mode.
      • Edit: opens the screen to edit the offer’s data.
      • Clone: creates an identical copy of the offer.
      • Delete: permanently deletes the offer from the system.

How the System Works

  • “Expired” is a status automatically generated by the system once the offer’s duration ends.
  • Expired offers remain available for viewing, editing, cloning, and deleting, but cannot be applied to new invoices.
  • Inactive and expired offers remain editable.
  • Offers currently used in invoices remain visible in the list.

Validation Rules

  • If no offers exist in the system at all, the screen displays empty with the message: “No records added yet! There are no records to display yet. Create your first offer to get started”.
  • If no offer matches the specified search or filter criteria, the message appears: “No Result Found.No matching Offer found. Try adjusting your filters or adding a new Offer”.
