Guide to Working with the Quantity Pricing System Across Split Lines for the Same Product

This system ensures that quantity-based price lists are applied correctly to a product, even if it appears across multiple separate lines on the same invoice or order, so that the customer gets the correct price regardless of how the quantity is distributed. In this article, we explain the steps to set up a quantity-based price list and apply it in detail.

Working with the Quantity Pricing System Across Split Lines for the Same Product Steps

First: Setting Up a Quantity-Based Price List

Step 1: Open the Price Lists Screen and Add a New List

From the sidebar menu, click on “Inventory,” then go to “Price List,” then add a new price list — the “Price List Details” screen opens.

Step 2: Enable Quantity Pricing

Click the “Settings” icon at the top of the screen. A checkbox labeled “Enable Quantity Pricing” appears. Enable the checkbox, then click “Close.”

Step 3: Add the First Tier

Click the “Add Item” button, then select the item (product), start quantity, and unit price for the first tier.

Step 4: Add Additional Tiers

To add more tiers for the same product, click the “Clone” button to duplicate the row, then edit the starting quantity and unit price values for the new tier; or add the same product again via “Add Item” with different values.

Second: Applying the Price List in a Sales Invoice

(The same steps apply to sales orders and estimates)

Step 5: Open the Invoice and Select the Price List

From the sidebar menu, click on “Sales,” then create a new sales invoice or open an existing one. When selecting the customer, specify the required price list from the “Price List” field.

Step 6: Add the Product on More Than One Line

Add the product linked to the price list to the invoice, then add the same product on more than one line within the same invoice if needed (whether by adding it manually again, or as a result of an automatic line split).

Step 7: Monitor the Automatic Price Update

After adding the same product on more than one line, monitor the affected lines’ prices; once the aggregated quantity across all lines reaches the required threshold in the price list, the price of all associated lines updates automatically.

Important Notes

  • When the same product is added on more than one line on the same screen, the system aggregates the quantities of these lines together (for the same product and unit), and applies the appropriate price based on the aggregated total quantity, rather than each line individually.
  • If the total later drops below the required threshold (by deleting a line or reducing a quantity), the system automatically reverts to the next matching lower price tier or the base price.
  • This mechanism applies to sales invoices, sales orders, and estimates using the same logic.
