Viewing the Payment Certificates List
This feature allows the system user to view the list of payment certificates across the entire system, to search, filter, and manage them.
Before You Begin
- You must have the “View All Payment Certificates” permission or the “View His Own Payment Certificates” permission to be able to view the payment certificates list.
Steps to Access the Payment Certificates List Screen
- From the sidebar menu, click on “Construction,” then click on “Payment Certificates.”
- A list of all payment certificates added will appear on the screen.
Actions on the List
Page Navigation:
- Navigation tools appear at the top of the list (the current page number out of the total pages, and the number of results), with arrows to navigate between the previous and next pages when there’s more than one page of results.
Search and Filter
A “Search & Filter” section appears at the top of the list, with a “Hide” option to hide the filters area when not needed, and a “Simple” / “Advanced” option to toggle between two filter modes.
Basic Search Mode:
- Search Payment Certificates: allows searching for a specific payment certificate by its number; results appear in a dropdown below the search field, and selecting a record from it redirects you directly to its view screen.
- Project: a dropdown listing all projects that exist in Construction.
- Work Item: a dropdown listing the active work items defined in inventory.
Advanced Search Mode: adds the following fields on top of the basic fields:
- Status: a dropdown with the options: Draft, Issued, Sent, Rejected, Approved, or Invoiced.
- Select Date Range: allows selecting a from/to time range to search by the payment certificate’s date.
- Sending Status: a dropdown with two options: Sent or Not Sent.
More than one filter can be used together at the same time. After specifying the search criteria, click “Search” to apply the filters to the list. Click “Clear All” to clear all search criteria and return to the full, unfiltered view.
Viewing the Payment Certificates List
The screen displays all added payment certificates in a table with the following columns:
- Certificate No.: displays the payment certificate’s sequential number.
- Project: displays the name of the project linked to the payment certificate, with its number as a link beneath it.
- Duration: displays the payment certificate’s duration.
- Date: displays the payment certificate’s start and end dates.
- Net Payable: displays the payment certificate’s net payable amount.
- Status: shows the payment certificate’s current status (example: Draft, Issued, Sent, Rejected, Approved, Invoiced).
- Actions on each certificate: allows the user to perform the available actions on each payment certificate, such as: View, Edit, and Delete.
At the top of the payment certificates list, you can click “Sort” and choose to sort by certificate number, start date, end date, or status, either ascending or descending.
Validation Rules
- If there are no payment certificates in the system at all, the screen appears empty with the message: “No records added yet! There are no records to display yet. You can create a payment certificate from within a project.”
- If no record matches the specified search or filter criteria, the message “No results found. No matching payment certificate found. Try adjusting your filters or adding a new payment certificate.” appears, along with the following buttons: “Reset Filters” and “Add New Payment Certificate.”
