Adding an Order in POS for Food and Beverage
The point of sale screen allows you to build a complete order seamlessly: searching for and adding products, selecting the client, and choosing the order type (dine-in or takeout) — all from the same screen without navigating between different pages. This article explains the steps to add an order in detail.
Before You Begin
You must have already opened a sales session — see the “Opening a Sales Session in POS for Restaurants and Cafés” article if you haven’t started working yet.
Searching for Products
- Search by Products: Displays all products with the ability to search by name or code.
- Search by Categories: Displays products grouped by category; clicking a specific category shows all products within it at once, rather than a single product.
- You can search by a specific category name.
Each product appears with its category and price, along with the available stock quantity at the current branch if the account tracks inventory.
Adding Products to the Order
- Click the product to add it to the order.
- Adjust the quantity by tapping directly, or enter a number manually, including fractions for products sold by weight.
- You can change the price of any item for this order only, or sell it in a different unit, with the price updating automatically.
- Add a note to any item (preparation method, or any other instructions for the kitchen).
- You cannot add a quantity greater than what’s available in stock, unless the “Allow Negative Inventory” setting is enabled from the inventory settings.
- If the browser reloads or crashes, the order you were building remains saved when you return.
- You can apply a discount to a single item or to the entire order, as a percentage or a fixed amount, and tax is calculated correctly whether the price is tax-inclusive or tax-exclusive.
- You can clear the entire order, or clear only a specific category, using the dedicated buttons at the top of the screen.
Adding a Client to the Order
- Click the edit (pencil) icon next to the client name field.
- Search for and select the required client from the list, or use the quick “Cash Client” option if there’s no specific client.
- You can create a new client directly from this screen by entering just the name and phone number.
- After selecting a client, you can edit or change them at any time from the edit (pencil) icon shown next to the client’s name in the order panel.
Selecting the Order Type (Dine-in / Takeaway)
The order type option appears within the order panel itself (not in a separate window):
- Dine-in: Select the table from the live table list view (grouped by size), with the ability to filter by table name or number, then specify the number of guests.
- More than one order can be open on the same table, and they can all be closed together.
- Takeaway: This option is used for external orders without assigning a table, issuing the invoice immediately without going through the “Order” step.
Completing the Order
After building the order, two ways to proceed appear at the bottom of the order panel:
- Place Order: Sends the order to the kitchen and keeps it without an invoice until payment is collected later.
- Issue Invoice: Converts the order directly into an invoice, without going through a separate “Order” step.
Important Notes
- No additional setup is needed to use multiple units or multiple barcodes, they’re read from the product’s pre-configured data.
- Changing the selected unit on an order line updates the price automatically, and the price can be edited manually afterward if you wish.
- Inventory tracking is done independently per unit, based on the quantity defined in the unit template.
