Adding a New Booking from the Calendar

The system allows you to add a new booking directly from the booking calendar by clicking on any time slot, which opens a side panel where you can enter the booking details and save it or proceed to payment immediately.

Before You Begin

  • Make sure you have the permission to add bookings in your role.
  • Make sure services and employees are added in the booking settings before you begin.

Steps to Add a New Booking from the Calendar

  • From the main menu click “Bookings“.
  • Click “Manage Bookings“.
  • In the booking calendar click on the required time slot (date and time) — a side panel opens on the right side of the screen.
  • The selected date and time appear automatically at the top of the panel. They can be edited by clicking the pencil icon next to them.

Booking Details

Client (Required)

  • Click the “Select Client” field and type the client’s name or number to search and select them.
  • After selection the client’s name, photo, and contact details appear at the top of the panel.
  • Click ··· next to the client to view additional options such as editing or removing the client.

Services (Required — at least one service)

  • Click “+Add Item” to add a new service.
  • When a service is added its details appear:
    • Service name and price
    • Start time (filled automatically from the time slot you clicked in the calendar and can be edited)
    • Duration (calculated automatically based on the service duration)
    • Employee (assigned automatically based on the selected calendar column). If the employee is unavailable at that time an orange warning appears: “Employee is not available at this time.”
  • You can add more than one service to the same booking by clicking “+Add Item” again.
  • For each added service you can:
    • Edit it by clicking the pencil icon
    • Remove it by clicking the trash icon.

Booking Summary

A summary bar appears at the bottom of the panel displaying:

  • Number of services added
  • Total duration of all services
  • Subtotal (total service prices before tax)
  • VAT (if enabled)
  • The overall total (the final amount due).

Click the ^ arrow next to the subtotal to show or hide the tax breakdown.

Saving the Booking

Two buttons appear at the bottom of the panel:

  • Save: Saves the booking and adds it to the calendar without generating an invoice.
  • Checkout: Saves the booking and navigates directly to the sales screen to generate an invoice and complete payment in the same step.

How the System Works upon Saving

  • The booking is added immediately to the calendar in the selected time slot under the assigned employee’s column.
  • If the booking has no assigned employee it appears in the “Unassigned” column.
  • If it is a waiting booking it appears at the top of the column with an hourglass icon instead of a time.
  • The add action is recorded in the activity log.

Validation Rules

  • The booking cannot be saved without selecting a client. The following message appears: “A client must be selected.”
  • The booking cannot be saved without adding at least one service.
  • The “Employee is not available at this time” warning does not prevent saving — you can proceed despite the warning.

Notes

  • The date and time can be edited manually by clicking the pencil icon at the top of the panel instead of closing it and clicking a different time slot.
  • The − button at the top of the panel minimizes the side panel without closing it so you can navigate the calendar.
  • The × button closes the panel and discards all entered data.
