Add New Lease Contract

The system allows you to create lease contracts linked to rental units and clients, with the ability to define installment values, due dates, insurance amounts, and all financial details of the contract.

Steps to Add a New Lease Contract

  • From the main menu, click on “Rental and Unit Management“.
  • Click on “Lease Contracts“.
  • Click on the “Add New Lease Contract” button.
  • Enter the contract details.
  • Click “Save” to complete the addition, or click “Cancel” to go back without saving.

Lease Contract Fields

Lease Contract Information

  • Code: the contract number is generated automatically and can be edited. (Mandatory)
  • Unit: select the rental unit linked to the contract. You can search by name. (Mandatory)
  • Client: select the client linked to the contract. You can search by name, code, email, or phone number. To add a new client directly click the Add button. (Mandatory)
  • Lease Period: enter the contract duration numerically and select the appropriate time unit. (Mandatory)
  • Start Date: set the contract start date. (Mandatory)
  • End Date: calculated automatically based on the start date and lease period and cannot be edited manually. (Mandatory)
  • Notes: enter any additional notes. (Optional)
  • Attachments: upload documents and files related to the contract. Supported formats: PDF, DOC, DOCX, XLS, XLSX, CSV, JPG, PNG, GIF, ZIP, JPEG. Multiple files can be uploaded. (Optional)
  • Tags: add tags to categorize the contract. New tags can be added or existing ones selected. (Optional)

Installment Value

  • Installment Amount: enter the installment value and select the currency. (Mandatory)
  • Payment Frequency: specify the number of time units and the time unit per payment, such as every month or every 3 months. (Mandatory)
  • Insurance Amount: enter the insurance amount in the selected currency. (Optional)
  • Tax: select the tax applied to the installments. (Optional)
  • Sales Account: select the accounting account linked to contract revenue. (Optional)

Installments Table

You can add installments manually in the table by specifying the following for each installment:

  • Note: enter a description or note for the installment. (Mandatory)
  • Due Date: set the installment due date. (Mandatory)
  • Amount: enter the installment value. (Mandatory)

To add a new installment click the Add button at the bottom of the table. To delete an installment click the trash icon next to it. You can also import installments from a spreadsheet file using the Paste from File option.

Important Notes

  • The contract is assigned the default status defined in the lease contract status settings upon creation.
  • The new contract appears in the lease contracts list after saving.
  • The addition is recorded in the general activity log and in the contract’s activity log.
  • A “Added Successfully” message appears after the contract is saved.
