Creating a Requisition from a Sales Order

Before using this feature, make sure the following settings are enabled before using this feature:

  1. Go to “Sales“, then select “Sales Settings“.
  2. Open the “Sales Orders” tab.
  3. Enable the “Sales Orders” option if it is not already enabled.
  4. (Optional) If you want to allow invoicing quantities that exceed sales order quantities, enable “Allow Invoicing Item Quantities Exceeding Sales Order Quantities“.

Once enabled, you can create a requisition after issuing a sales order. The requisition must be approved before stock levels are updated.

User Permissions

This feature depends on three permissions. What a user can do is determined by the permissions assigned to them:

  • Add Manual Outbound: Allows creating a requisition from a sales order only.
  • Add New Invoice Only: Allows converting approved requisition into invoices only.
  • Convert Sales Order to Invoice Only: Allows converting approved and partially delivered requisitions into invoices without modifying quantities.
  • Convert Sales Order to Invoice + Add New Invoice: Allows converting approved and partially delivered requisitions into invoices with the ability to modify quantities.

Note for Administrators: Users who already have the “Add New Invoice” permission will automatically receive the “Convert Sales Order to Invoice” permission when this feature is activated.

Creating a Requisition from a Sales Order

After enabling the feature, you can create a requisition using one of the following methods:

Method 1

  • From the main menu click “Sales“.
  • Click on “Create Sales Order“.
  • Enable the “Generate Requisition” checkbox in the sales order form (or edit form). You will find it directly under the shipping details (warehouse) section.
    • If your account has more than one warehouse, an additional field will appear allowing you to select a warehouse, with the ability to assign a different warehouse for each product.

Method 2

  • From the main menu click “Sales“.
  • Select “Manage Sales Orders“.
  • Open the required sales order.
  • Click “Generate Requisition” on the sales order view page.

These options are only available to users who have the “Add Requisitions” permission.

Notes

  • Sales orders cannot be modified after an invoice has been generated from them.
  • Requisitions cannot be modified from within the invoice.
  • If all requisitions are rejected, you will not be able to convert the sales order into an invoice.
  • To modify quantities in the invoice, the “Allow Invoicing Quantities Greater Than Sales Order Quantities” option must be enabled, in addition to having the required permissions.
