Why Is There No Option to Pay the Invoice in Full?
There is an option to pay the invoice in full, called Already Paid. It appears below the items table when you create or edit an invoice. When you select it, the system automatically records a completed payment for the invoice total. If you don’t see it, the reason is usually one of the following:
Why doesn’t the Already Paid option appear?
| Cause | Solution |
|---|---|
| You don’t have permission to add payments. | Ask the account manager to add the Add Payments to All Invoices or Add Payments to His Own (Created) Invoices permission to your role in Employee Roles. |
| You’re editing an invoice that is already fully paid. | The option doesn’t appear because nothing is left to pay on the invoice. |
| The document is an estimate, a sales order or a credit note. | These documents aren’t paid. The option appears in the invoice after you convert them. |
| You’re looking for it in the Deposit tab. | The full payment option is in the payment section below the items table. The Deposit tab is for advance payments only. |
🛈
Note: If you save the invoice as a Draft, the payment isn’t recorded even if you selected Already Paid, because drafts don’t affect the accounts.
How do I record an invoice as fully paid when I create it?
- Create a New Invoice and add the items.
- In the payment section below the items table, select Already Paid.
- Choose a Payment Method and a Treasury, and enter the Ref No. if needed. To split the amount across more than one method, choose Multiple.
- Save the invoice. A completed payment for the invoice total is recorded, and the invoice becomes Paid.
Make invoices paid automatically
If most of your invoices are paid immediately, turn on Mark Invoices As Already Paid By Default in Invoicing Settings, under the Payments & Credits section. The Already Paid option is then selected automatically on every new invoice, and you can clear it manually when needed.
Paying an existing invoice in full
- Open the invoice and click Add Payment. The full remaining amount appears automatically. Choose the payment method and treasury, then save.
- To pay several invoices at once, select them in Manage Invoices and choose Mark as paid from the bulk actions. A payment for the remaining amount is recorded for each invoice.
