How to Add a QR Code for Your Company’s Website to the Estimate Template
You can add a QR code to the estimate that opens your company’s website when scanned with a mobile camera. This is done by adding the code’s image inside the estimate layout, so it appears automatically in every estimate hen viewing, printing, and in the PDF file.
What Is Available and What Is Not
| Option | Available? | Details |
|---|---|---|
| Estimate barcode {%invoice_barcode%} | Available | A linear barcode with an internal number specific to the transaction, and it cannot be linked to a website. |
| An automatic QR code from the system on the estimate | Not available | The automatic QR code appears in invoices and notes only, and carries the transaction link or the e-invoice data, and it doesn’t appear in estimates. |
| A QR code that opens the company’s website | Available by adding an image | You create the code’s image with any external QR generator and then upload it inside the layout. |
| A text link to the company’s website | Available | Written manually in the footer or the business data inside the layout. |
| A ready-made variable for the company’s website | Not available | There is no website field in the company data, so the link is written manually. |
🛈
Note: an ordinary linear barcode isn’t read by the mobile camera as a link. If the goal is for the client to open your website when scanning, use a QR.
Brief Workflow
1. Create a QR image for the website link → 2. Open the estimate layout → 3. Upload the image in the footer or the business data → 4. Make it the primary layout for estimate→ 5. Create the estimate
The Steps in Detail
Step 1: Create a QR code image for your website
Use any website or app that creates QR codes, enter your company’s website link in it (such as https://www.example.com), then download the image in PNG or JPG format. Try scanning the code with your phone before uploading it to make sure it opens the correct website.
Step 2: Open the estimate layout
- Go to Sales Settings and then Invoice/Estimate Layout.
- Click Edit on the layout you use for estimates, or click New layout to create a layout specific to estimates.
Step 3: Add the code’s image
- Choose the area where you want the code to appear, such as the footer or the business data.
- In the editor’s toolbar, click the image icon and upload the code’s image from your device (the supported formats: PNG, JPG, and GIF).
- Adjust the image size (for example 100 × 100 pixels) so that it is clear and easy to scan.
- You can write text next to the code such as: “Scan the code to visit our website,” or write the website link as text.
Step 4: Make the layout the default for estimates
Enable the option Make this layout the primary layout for estimates, then save the layout . It will be used automatically in every new estimate.
🛈
Note: you can also choose the layout manually for a specific estimate from the Invoice Template field while creating the estimate.
Step 5: Create the estimate and check the code
Create a new estimate from estimates, then view it, print it, or export it as PDF, and scan the code with your phone to check.
Example
A company wants the client to open its product catalog from the estimate: it creates a QR code for the catalog link https://www.example.com/catalog, then uploads it in the footer of the estimate layout next to the phrase “Browse our product catalog,” so the code appears at the bottom of every layout.
Adding the Layout Barcode (Optional)
If you need a linear barcode to identify the document internally (not to link to a website), write the variable {%invoice_barcode%} in any area of the layout, and a barcode specific to each layout appears in its place.
Frequently Asked Questions
- Will the same code appear on all estimates? Yes, because the code is part of the layout and not of a specific estimate, and this suits a website link because it is fixed.
- Does this affect the invoice layout? Only if the same layout is used for invoices too. To separate them, create a layout specific to estimates and make it the primary one for them only.
- Can the code open the estimate itself online? The automatic QR code for the document link is available for invoices only, not for estimates. You can instead send the estimate to the client by email so that the estimate link reaches them.
