Quantity-Based Pricing in Price Lists

The system allows you to set different prices for a product based on the quantity sold through price lists, so the unit price automatically updates according to the quantity entered on an invoice or at the point of sale.

Before You Begin

Make sure the “Enable Quantity Pricing” feature is activated from the settings icon in the header of the price list view page, next to the navigation buttons on the right side of the header.

If the price list already contains quantity-priced items, the option to enable quantity pricing will appear dimmed.

Steps to Add Quantity-Based Pricing

  1. From the main menu, click “Sales”, then “Sales Settings”.
  2. Open the “Price Lists” card.
  3. Click “View” next to the required price list.
  4. Enable “Enable Quantity Pricing” from the settings icon if it isn’t already enabled.
  5. Click “Add Item”.
  6. Select “Quantity Pricing” from the available pricing options.
  7. Enter the Start Quantity (Required, Numeric field): the minimum quantity this price applies to. The quantity cannot be less than 0.
  8. Enter the Specified Price for each quantity range — this is the unit selling price once the entered quantity exceeds the defined minimum.
  9. Click the “Add” button to add a new line for a different quantity range for the same product.
  10. Click “Save” to complete the addition.

Viewing Items in the List

Once quantity pricing is enabled, the following rules apply to the price list:

  • The list will only contain quantity-based products.
  • The “Start Quantity” field appears as a column directly before the “Unit Price” field in the list view.
  • Next to the start quantity field there’s an add button to create a new line for the same product with the same selling price but an empty quantity.
  • If you enter a quantity matching an existing line, the original line is updated to take the new selling price rather than creating a separate line.
  • If a product has more than one price across different quantity ranges, it will appear duplicated across several lines, each representing a different range.
  • You can edit the price and quantity directly from the list at any time.

In the price lists listing itself, a “Type” column appears showing whether the list is of type “Unit Price” or “Quantity Pricing.”

Reflection on Invoices and POS

When creating an invoice that includes a product from a price list with quantity pricing enabled, the product’s unit price automatically updates based on the quantity entered in the invoice line, reflecting the appropriate price for the range that quantity falls into. This behavior also applies to the POS and the POS mobile app.

Validation Messages

  • If a quantity less than 0 is entered: “Quantity can’t be less than 0.”
  • When attempting to combine unit-priced items and quantity-priced items in the same list: “‘{Price list name}’ can’t have both unit pricing and quantity pricing items.”

Notes

  • A single price list cannot contain both unit-priced items and quantity-priced items at the same time.
  • Importing and exporting quantity-priced price lists is handled separately and is outside the scope of this guide.
