View Employee Asset

This screen displays all details of an employee asset in read-only mode, including its basic information, current status, movement history, attachments, and available actions.

Activation Requirements

  • The user must have permission to view employee assets.

How to Access

  • From the main menu, go to Employees.
  • Click on Employee Assets.
  • From the list: click Actions (…) next to the desired asset, then select View.
  • You will also be redirected to this screen automatically after creating a new asset or saving edits.

Screen Content

First: Header Section

Displays the asset name and code, along with a link to the related accounting asset and the following action buttons:

  • Edit: Disabled if status is Sold, Consumed, Written-off, or Retired.
  • Delete: Available only if status is Not Assigned or In Storage.
  • Send to Maintenance: Available if status is In Storage, Assigned, or Not Assigned.
  • Return from Maintenance: Available only if status is Under Maintenance.
  • Deactivate Asset: Available if status is In Storage, Not Assigned, or Under Maintenance.
  • Reactivate Asset: Available only if status is Inactive.
  • Print Templates: Displays a list of available templates.
  • Add Documents: Allows uploading related files.

If the asset status is Sold, Consumed, or Written-off, all actions above will be unavailable.

  • A Copy button is available next to: Asset Code, Serial Number, and Barcode.

Second: Asset Information

  • Asset Name — Asset Code
  • Asset Type
  • Serial Number
  • Barcode
  • Warranty Expiry Date
  • Current Status
  • Used By
  • Assigned Employee or Storage Location
  • Physical Location
  • Asset Image

Third: Tabs

Details

  • Displays all basic data and custody information.
  • Includes the Accounting Asset Link section:
    • If linked: shows status as Linked with accounting asset details in read-only mode, along with a link to view the related accounting asset.
    • If not linked: shows status as Not Linked without additional details.

Movement Timeline

  • Displays all assignment, return, maintenance, and status change events in chronological order.

Documents

  • Lists all attachments related to the asset, with options to open or download each file.

Notes & Attachments

  • Displays notes and attachments added through actions such as sending to maintenance, returning from maintenance, or retirement.

Activity Log

  • A comprehensive audit log of all actions performed on the asset. Each record includes:
    • Action description (e.g., edit asset name, link to accounting asset, change custody, send to maintenance)
    • Old value
    • New value
    • Performed by (user)
    • Date and time
