Launching Onboarding/Offboarding Tasks From an Employee’s Profile

Once the onboarding and offboarding feature is enabled and a default template is selected, you can launch onboarding or offboarding tasks for any employee directly from their profile with a single click, without needing to manually create a task flow each time. This article explains the launch steps.

Before You Begin

  • The onboarding or offboarding feature must be enabled from Employee Settings, with a default template selected for each — see the “Configuring Onboarding and Offboarding Task Flows” article.
  • You must have the “Manage Employee Task Flows” permission.

Steps to Launch Onboarding or Offboarding

  • From the main menu, click “Employees.”
  • Click “Manage Employees.”
  • Open the required employee’s profile.
  • Click the “” (More Actions) icon at the top of the profile.
  • From the More Actions menu, click “Launch Onboarding Tasks” (or “Launch Offboarding Tasks,” depending on the case you need).
    • A confirmation dialog appears, displaying the default template that will be launched.
    • You can review the list of tasks within the template before confirming, or select a different template if you prefer.
  • Click “Confirm” to launch the flow.

How the System Behaves Upon Launching

  • A new task flow is created and linked to the employee’s profile, and all the tasks defined in the template are created at once.
  • All resulting tasks start with a “Pending” status.
  • Each task is automatically assigned to the assignee specified in the template.
  • Task progress can be tracked from the “Task Flows” screen, or from each task’s individual details.

Important Notes

  • Onboarding or offboarding tasks cannot be launched for an employee if the corresponding feature is not enabled in the settings.
  • Launching a flow does not prevent launching another flow later for the same employee (e.g., launching offboarding after onboarding has completed).
  • Editing the default template after a flow has been launched does not affect the tasks already created within that flow.
