Viewing the Employee Contracts List
The system allows you to view all employee contracts in a unified list, with search, filtering, and sorting capabilities for quick access to any contract.
Before You Begin
Make sure you have the appropriate permission in your assigned role to access the contracts list and perform the required actions.
Steps to Access the List
- From the main menu, click on “Payroll”.
- Click on “Contracts”.
- A list of all employee contracts appears.
List Elements
Each row in the list displays the following information:
- Number: The contract ID number.
- Employee: The employee’s name and ID number.
- Designation: The employee’s job title.
- Start Date: The contract start date.
- End Date: The contract end date.
- Net Salary: The salary value and currency.
- Status: The current status of the contract, including: Active, Draft, Pending, Expired, Superseded, Cancelled, and Terminated.
Search & Filters
Search and filter fields appear directly at the top of the list. The basic available filters are:
- Employee: Search for one or more employees by name, code, email, department, or branch.
- Contract Code: Search by contract code.
- Type: Filter contracts by status — Active, Draft, Pending, Expired, Superseded, Cancelled, or Terminated.
- Filter by Salary Component: Filter contracts that include a specific salary component.
To access additional filters, click “Advanced”, which includes:
- Filter by End Date: Specify a date range for the contract end date.
- Designation: Filter contracts by job title.
- Filter by Department: Filter contracts by department.
- Probation Period: Specify a date range for the probation period.
- Start Date: Specify the contract start date.
- End Date: Specify the contract end date.
- Salary Template: Filter contracts that use a specific salary structure.
- Creation Date: Specify a date range for when the contract was created.
- Filter by Employee Status: Filter contracts by whether the employee is active or inactive.
- Expiry Type: Filter contracts by their expiry type.
- Added By: Filter contracts by who created them.
After selecting your filters, click “Search” to apply them, or click “Reset” to clear all filters and return to the full default view.
Note: If no results match the search criteria, the following message appears:
“No Result Found, Try to change the Search Criteria.”
Sorting Results
Click “Sort” at the top of the list to sort by: Employee name alphabetically, Creation date, or Contract end date in ascending or descending order.
Available Actions per Contract
Click the ··· icon next to any contract to access the following actions:
- View: Open the contract details page. (Requires the View Contracts permission)
- Edit: Navigate to the contract edit form. (Requires the Edit/Delete Contracts permission)
- Delete: Permanently delete the contract. (Requires the Edit/Delete Contracts permission)
Bulk Actions
Select multiple contracts using the checkboxes to access bulk actions from the “Actions” menu, including: Assign Salary Component, Remove Salary Component, Export, and Delete Contracts.
Note
If no contracts have been added to the system yet, an empty screen appears indicating that no contracts exist.
