Leave Applications List Guide

The system allows you to view all leave applications in a unified list, with search, filtering, and quick access to any application.

 

Before You Begin

Make sure you have the permission to view leave applications in your assigned role.

Steps to Access the List

  1. From the main menu, click on “Attendance”.
  2. Click on “Leave Applications”.
  3. A list of all leave applications appears, sorted from newest to oldest.

3. List Elements

Each row in the list displays the following information:

  • ID: The auto-generated sequential number of the application.
  • Employee: The employee’s name and staff code.
  • Department: The department the employee belongs to.
  • Type: The type of leave requested and the number of days.
  • Creation Date: The date and time the application was submitted.
  • Date: The start and end dates of the leave.
  • Status: The current status — Pending Review, Approved, Rejected.

Search & Filters

Filters appear at the top of the list when you click “Search & Filters”:

  • Type: Filter by the nature of the request.
  • Date From / Date To: Specify the leave date range.
  • Leave Type: Filter by the type of leave requested.
  • Status: Filter by application status.
  • Approved/Rejected By: Filter by the person who made the decision.
  • Has Attachments: Enable this option to display only applications that include attachments.

After selecting your filters, click “Search” to apply them, or click “Reset” to clear all filters and return to the full view.

Note: Click “Advanced” to access additional filters such as Department, Job Title, Employment Level, Employment Type, Branch, Shift, and Creation Date.

Note: The “Has Attachments” filter works alongside all other active filters and remains active across pagination and sorting until you click “Reset” or navigate away from the page.

Quick Status Filters

Use the quick filter buttons at the top of the list to switch between:

  • All: Display all leave applications.
  • My Team: Display applications from your team members only.
  • Pending on Me: Display applications awaiting your approval.
  • Pending: Display applications currently under review.
  • Approved: Display approved applications.
  • Rejected: Display rejected applications.

Sorting Results

Click “Sort” at the top of the list to sort by: Employee Code or Creation Date.

The Attachments Indicator

A paperclip icon 📎 appears on rows that contain attachments, along with a badge showing the number of attached files (e.g., 📎 3).

Hovering over the icon displays the following tooltip:
Has {X} attachment(s) — Click to download

Note: Rows with no attachments do not display the icon.

Downloading Attachments

You can download attachments for a leave application in two ways:

  • Clicking the paperclip icon 📎 directly in the row.
  • Clicking “Download Attachments” from the ··· action menu next to the application.

Download behavior:

  • Single file: The file downloads directly with its original name and extension.
  • Multiple files: All files are compressed and downloaded as a ZIP archive named:
    Leave-{ApplicationID}-attachments-{YYYYMMDD}.zip

Note: If the total size of the attachments exceeds the allowed limit (200 MB), the download will not proceed and the following message will appear:
“Attachments are too large to download as one file. Open the application to download individually.”

Note: If a row has no attachments, the Download button will be disabled and will display the tooltip: “No attachments available”

Note: ZIP file preparation runs in the background and does not interrupt your work. A notification will appear once the download is ready.

Available Actions per Application

Click the ··· icon next to any application to access the following actions:

  • View: Open the application details page.
  • Edit: Modify the application data.
  • Download Attachments: Download the files attached to the application.
  • Approve: Approve the application directly from the list.
  • Reject: Reject the application directly from the list.
  • Delete: Permanently delete the application.

Bulk Actions

You can select multiple applications at once using the checkboxes, then execute the following bulk actions from the “Actions” menu:

  • Approve: Approve the selected applications in bulk.
  • Reject: Reject the selected applications in bulk.

To select all, click the checkbox at the top of the list and choose:

  • All (Current Page): Select only the records on the current page.
  • All (All Pages): Select all records matching the active filters.

Permissions

  • Any user with permission to view leave applications can also view the attachments indicator and download the attachments.
  • If you do not have the required permission, the following message will appear:
    “You don’t have permission to download these attachments.”

 

Notes

  • Clicking anywhere on an application row takes you to its details page.
  • A new leave application can be created directly from this page by clicking the “Add Leave Application” button at the top of the screen.
  • You can view employee leave balances by clicking the “Leave Balance” button at the top of the screen.
