Editing an Attendance Day
The system allows you to manually edit the data of any employee’s attendance day, whether to update the status, adjust sign-in and sign-out times, or add notes.
Before You Begin
Make sure you have the Edit Attendance Day permission in your assigned role.
Steps to Access the Edit Attendance Day Form
- From the main menu, click on “Attendance”.
- Click on “Attendance Days”.
- Click the ··· icon next to the attendance day you wish to edit.
- Click “Edit”.
Note: You can also access the edit form directly after adding a new attendance day using the “Add Attendance Day” button.
Attendance Day Information
The following fields appear at the top of the form and are read-only:
- Attendance Date: The date of the attendance day.
- Employee Name: The employee’s name and ID associated with this day.
Status
Select the attendance status for the day from the following options:
- Present: The employee was present on this day.
- Leave: The employee was on leave on this day.
- Absent: The employee was absent on this day.
Attendance Details — "Present" Status
When “Present” is selected, the following attendance fields appear:
- Shift Start: Set the start time of the employee’s shift for this day.
- Shift End: Set the end time of the employee’s shift for this day.
- Sign In: Enter the employee’s actual sign-in time.
- Sign Out: Enter the employee’s actual sign-out time.
Advanced Options
Click “Advanced” to record partial leave for days where part of the day is present and the other part is on leave:
- Leave Type: Select the leave type corresponding to the absent portion of the day.
- Leave Count: Enter the fractional leave count for the absent portion (a decimal value less than 1).
Attendance Details — "Leave" Status
When “Leave” is selected, the following field appears:
- Leave Type: Select the leave type from the dropdown list.
Click “Advanced” to adjust the leave count:
- Leave Count: Enter the number of leave days recorded.
Notes
- Notes: Enter any additional notes related to the attendance day in the text box.
Saving Changes
After entering the required data, click the “Save” button to save your changes. You can also click the dropdown arrow next to the Save button and select “Save and Add New” to save and immediately proceed to adding a new attendance day.
Note: An attendance day cannot be edited if it is already included in an approved attendance sheet. In this case, a message will appear with a link to navigate to the approved sheet.
