What are the required fields in the employee import file?

When you add a new employee from the import file, their row must include the following fields. Otherwise, the row isn’t imported, and the reason appears on the Result page.

Required fields for every new employee:

  • Employee type (Type): enter User for a user or Employee for an employee.
  • First name (First Name).
  • Email (Email Address).
  • Display language (Display Language).
  • Date of birth (Birth Date).
  • Country (Country).
  • Branch (Branch), if the Branches app is active.
  • Join date (Join Date), if the HRM app is active.

Fields required depending on the case:

  • Role (Role): required if you enter Yes in the Can Access System column, whether the type is User or Employee.
  • Accessible branches (Accessible Branches): required if the type is User, you enter Yes in the Can Access System column, and the Branches app is active.

Notes:

  • The employee code (Employee Code) isn’t required when adding a new employee. The system generates it automatically if you leave it empty, but it’s required if you want to update an existing employee.
  • When updating an existing employee, no fields are required. Enter only the fields you want to change, and empty fields keep their current values.
  • In the Fields Mapping step, required fields are marked with *.
