Adding an Allocated Shift

The system allows you to create an allocated shift and assign it to a group of employees for a specific period. During this period, the employees’ primary shift is automatically replaced by the allocated shift, and their original shift resumes once the period ends.

Before You Begin

  • Make sure you have the Manage Attendance Settings permission in your assigned role.
  • Make sure the system has at least two shifts before assigning an allocated shift.

Steps to Add an Allocated Shift

  1. From the main menu, click on “Attendance”.
  2. Click on “Allocated Shifts”.
  3. Click the “Add Allocated Shift” button.
  4. Enter the allocated shift details as follows:

Allocated Shift Information

  • Name: Enter a unique name for the allocated shift. The name cannot be repeated in the system.
  • Start Date: Select the date on which the allocated shift takes effect.
  • End Date: Select the date on which the allocated shift expires.
  • Allocated Shift: Select the shift to be assigned from the dropdown list.

Selection Criteria

Select how the employees to whom the allocated shift will be applied are identified, using one of two methods:

Rule Selection (selected by default)

Allows you to target employees based on specific criteria:

  • Branch: Select a specific branch, or leave it as “All Branches” to include all branches.
  • Department: Select a specific department, or leave it as “All Departments” to include all departments.
  • Designation: Select a specific job title, or leave it as “All Designations”.
  • Shift: Select the employees’ current shift to be replaced, or leave it as “All Shifts”.
  • Excluded Employees: Select any employees you want to exclude from the allocated shift.

Employee Selection

Allows you to select specific employees directly. Search by the employee’s first name, middle name, last name, email address, or ID. The system autocompletes results as you type. Each employee appears in the list with their photo, full name, ID, and email address.

Note: At least one employee must be selected when using this option, otherwise an error message will appear.

  1. Click the “Save” button.

Validations and Messages

  • All fields marked with * are mandatory. If left empty, the following message will appear: “This is a required field and could not be empty.”
  • If you enter a name that already exists in the system, the following message will appear: “This name already exists.”
  • If an employee is assigned to two allocated shifts covering the same period, the most recently added allocated shift will be applied.
  • After saving successfully, the following message appears: “Allocated Shift Added Successfully.” You are then redirected to the Allocated Shift view page.
