Customizing the Dashboard: Arranging the Human Resources and Sales Dashboard Items

The dashboard in the system shows a quick summary of your business when you enter the system. There are two dashboards: the sales dashboard, which shows sales, payments, overdue invoices, and low stock, and the human resources dashboard, which shows tools for attendance, leave, payroll, contracts, requests, and tasks. This guide explains the content of each dashboard, what can be customized in them, and how to arrange the human resources dashboard items to suit your work.

🛈

Note: only the human resources dashboard items can be arranged, shown, and hidden. The sales dashboard has a fixed order, and its items appear automatically according to the enabled apps and the user’s permissions.

Before You Start

  • To customize the human resources dashboard you need the permission to edit general settings. Permissions are set from Manage Employee Permissions.
  • The items of each dashboard depend on the apps enabled from the Apps Manager: sales, inventory, point of sale, follow-up, attendance, payroll, requests, and tasks.
  • The human resources dashboard arrangement is one for the whole account; any edit appears to all users, and each user sees only the items allowed for them.

Which Dashboard Appears to You

The system chooses the dashboard automatically when you click Dashboard in the side menu:

Case The Dashboard That Appears
The sales app is enabled and you have the permission to view invoices The sales dashboard.
The sales app isn’t enabled, or you don’t have the permission to view invoices The human resources dashboard.
No items are available to you in the human resources dashboard and you have no sales permission The My Account page.

There is no setting to choose a start page or a default dashboard for each user; it is determined by the apps and permissions.

The items appear in the following order, and each item appears only if its condition is met:

Item What It Shows Appears When
Search Invoices Quick search by invoice number or client. Always.
Search Clients Quick client search. The permission to view clients.
Quick Action Buttons Start Selling, Create Invoice, Sessions, Invoices, Clients, New Client. Each button according to its permission (such as opening point of sale sessions or adding invoices).
Sales Tabs: Invoices (a sales chart), Profit and Loss (the last 11 months, accrual or cash), Latest Invoices, Overdue Invoices. Always. The charts require the permission to view reports, and Profit and Loss requires the permissions to view expenses, incomes, purchase invoices, and invoices.
Payments Tabs: Statistics (a chart), Latest Payments. Always.
Low Stock Products Up to 20 products that reached the minimum. The inventory app and the permission to track stock, and the existence of low-stock products.
Latest Appointments Upcoming appointments. The follow-up app and the existence of appointments.
Current Activities The latest activities of users in the system. The permission to view all activity logs.

How the Sales Dashboard Works

  • The charts’ period is automatic: the last month day by day, switching to the last year month by month if the last month’s invoices are few.
  • Click Details in any chart to open the full report and choose the period you want.
  • A user who sees only their own invoices sees only their invoices in the lists.
  • When branches are enabled, the numbers show the current branch.

How to Make the Sales Dashboard Suit Your Work

The sales dashboard items cannot be moved or hidden directly, but you can control what appears:

  • By permissions: remove a permission from the user’s role so that the item linked to it disappears (for example, removing the permission to view activity logs hides Current Activities).
  • By apps: turning off an app (such as point of sale or follow-up) hides its items and buttons.
  • From the Logo & Color settings: enable the simple side menu from the appearance settings next to dark mode, then use the All Apps filter to show the menu of only one app.

The Human Resources Dashboard

Open the human resources dashboard. The available items:

Item What It Shows Requires
Attendance Summary Present, absent, leave, holidays, and working hours, with a Calculate Attendance button when there is no data. The attendance app and the permission to view attendance logs.
Leave Summary A summary of leave in the period. The attendance app and the permission to view attendance logs.
Attendance Rules Summary Attendance rule violations (lateness and early leave). The attendance app and the permission to view attendance logs.
My Attendance The latest attendance record and the check-in and check-out button. The attendance app and the permission to record their own attendance.
Leave Requests Leave requests, with an Add Leave Request button. The attendance app and the permission to view leave requests.
Pending Requests The latest 10 requests awaiting approval. The requests app and the permission to manage requests.
Contracts Summary A summary of employee contracts. The payroll app and the permission to view contracts.
Contracts About to Expire Contracts close to expiry. The payroll app and the permission to view contracts.
Payroll Summary Total wages paid, total deductions, total net wages, and payslips, with a currency selection. The payroll app and the permission to view payroll runs.
Residencies About to Expire Employee residency permits close to expiry. The human resources app and the permission to view employee files.
My Tasks The number of your tasks: to do, in progress, completed, and the total in the current branch. The tasks app and the permission to view my tasks.

In the attendance summary, leave summary, attendance rules summary, and payroll summary, you can choose the period: the last 30 days (the default), last month, current month, current year, last 12 months, or a custom period. The chosen period isn’t saved, and goes back to the default when you open the dashboard again.

Steps to Show and Hide Human Resources Dashboard Items

  1. Open the human resources dashboard.
  2. Click the settings icon at the top of the page and choose Manage Items (or open Manage Items directly).
  3. Enable or disable each item with the switch Enabled / Disabled.
  4. Click Save. The message “Dashboard updated successfully” appears.

After saving, the system redistributes the enabled items evenly across two columns; arrange them afterward as you like.

Steps to Arrange Human Resources Dashboard Items

  1. Click the settings icon at the top of the dashboard and choose Arrange Items.
  2. Drag each item by its drag handle to the place you want, within the same column or to the other column.
  3. Click Save to apply the arrangement, or Discard to cancel.

Example: a dashboard for the human resources manager

Put in the first column: Attendance Summary, then Pending Requests, then Leave Requests. And in the second column: Payroll Summary, then Contracts About to Expire, then Residencies About to Expire. And disable My Attendance if the manager doesn’t record their attendance from the system.

How the System Works

  • The arrangement and the enabled items are saved for the whole account, not per user or role.
  • Each user sees of the enabled items only what their app and permissions allow; an employee with “Own” permissions sees only their attendance and leave data.
  • The first time the dashboard is opened, all the items of the enabled apps are enabled automatically.
  • Enabling an app adds its items to the dashboard, and turning it off removes them.
  • The size of the items cannot be changed; each item has the width of half the page.
  • There is no button to restore the default arrangement; to redistribute, save the Manage Items page again.

Frequently Asked Questions

  • I can’t find the settings icon in the human resources dashboard. Why? Because it requires the permission to edit general settings.
  • I arranged the dashboard and it changed for all employees. Why? Because the arrangement is saved for the whole account, not per user.
  • Why doesn’t a certain item appear? Because its app isn’t enabled, you don’t have its permission, or it is disabled from Manage Items.
  • Why does the human resources dashboard open for me instead of sales? Because the sales app isn’t enabled or you don’t have the permission to view invoices.
