View Task Flow Details
This screen allows a system administrator or HR administrator to review the full details of a task flow created for a specific employee, in order to monitor its progress and review all the tasks assigned to the employee within this flow.
Before You Begin
- You must have the “Manage Task Flows” permission.
Steps to View Task Flow Details
- From the main menu, click “Task Management,” then go to “Task Flows.”
- Click the target employee name associated with the flow you want, or select “View” from its actions menu.
- The screen opens in view-only mode and includes the following buttons:
- Edit: to go to the edit task flow screen.
- Delete: to permanently delete the task flow.
- The task flow’s status appears at the top left of the screen, next to the name of the employee associated with the flow.
- The screen displays a Details tab and an Activity Log tab for the flow, as follows:
- In the Details tab:
- “Task Flow Information” section, which includes:
- Employee: the name of the employee associated with the flow, with any additional employee information below it, such as email or phone number, and a link next to the name that redirects you to the employee’s details screen when clicked.
- Creation Date: the date the task flow was created.
- Start Date: the date the flow’s execution started (calculated from the moment the first task changes from “To Do” to “In Progress”).
- Due Date: the date all tasks in the flow were completed (calculated from the moment the last remaining task in the flow is completed).
- Progress: displays how much of the flow’s tasks have been completed, in the format: number of completed tasks / total number of tasks (e.g., 3 / 6 Completed).
- Created By: the user who added the task flow, with a link below the name that directs you to that user’s details.
- “Tasks” section, which includes:
- The name of the template used in the task flow (if any); clicking it opens the view screen for that task template’s details.
- Task Title.
- Task Assignee.
- Type.
- Priority.
- Due Date.
- Status.
- A “View Task” button; clicking it opens the task details screen.
- “Task Flow Information” section, which includes:
- In the Activity Log tab:
- This tab displays all the actions and edits made to the task flow in detailed chronological order.
- At the top of the log, filtering options are available to narrow down the view:
- All Actions: filters the log by action type (edit, add, delete, etc.).
- All Actors: filters the log by the user who performed the action.
- Date Range: to display actions within a specific date range.

How the System Works
- The task flow’s status is calculated automatically based on the statuses of its associated tasks, according to the following rule:
- To Do: all tasks are still in “To Do” status.
- In Progress: at least one task is in “In Progress” status.
- Completed: all tasks are in “Completed” status.
- The Start Date is recorded automatically upon the first transition of any task from “To Do” to “In Progress.”
- The Due Date is recorded automatically once the last remaining task within the flow is completed.
- All task flow data displayed on this screen is read-only, and cannot be edited directly except via the “Edit” button.
- Clicking on any task’s title in the tasks table takes the user directly to that task’s details screen.
- Any edit made to the task flow or to any of its tasks is automatically recorded as a separate event in the “Activity Log” tab, showing the value before and after the edit.
- Filtering the activity log by time range, actor, or action type can be used individually or in combination to narrow down the view.
