Edit Task Flow
This screen allows a system administrator or HR administrator to edit the details of a task flow that was previously created for a specific employee, so that the flow’s data can be corrected or updated before the tasks actually begin.
Before You Begin
- You must have the “Manage Task Flows” permission.
- The task flow you want to edit must already exist.
- The editable fields depend on whether the flow’s tasks have already started or not.
Steps to Edit a Task Flow
- From the main menu, click “Task Management,” then go to “Task Flows.”
- From the actions menu for the task flow you want to edit, click “Edit.”
- The screen opens with the same sections as the Add Task Flow screen, with all fields pre-filled with the flow’s current data.
- In the “Task Flow Information” section, you can edit:
- Employee: editable, allows selecting a different employee as long as the tasks have not started yet.
- Flow Code: editable.
- Template: not editable (displayed only, with no option to change it).
- You can also edit the data of the tasks associated with the flow (each task row), depending on the task’s status, as follows:
- To Do: all task fields are editable except the Record Code.
- In Progress: only the Due Date and Priority can be edited.
- Completed: nothing can be edited.
- Once you’ve finished making changes, click the “Save” button, or click “Cancel” to discard the changes and exit without saving.
- Once the save is successful, you are automatically redirected to the task flow details view screen.
How the System Works
- When the edit screen is opened, the system retrieves all the current task data and displays it pre-filled in the corresponding fields, with the current task status clearly shown.
- When “Save” is clicked:
- The system validates the entered task flow data.
- The task flow record is updated.
- The tasks associated with the flow are updated.
- The user is redirected to the task flow details view screen.
Validation Rules
- The edit cannot be saved if the Flow Code is left empty; the message “Required.” will appear.
- The fields that are actually editable are determined based on the current status of each task at the time of editing.
