Add Attendance Flag
This feature allows an HR user to add a new attendance flag to apply to working days, including setting its name, description, color, condition, formula, and linking it to the required shifts.
Before You Begin
- Make sure the “Employee Attendance” setting is enabled under “Human Resources Management” settings, otherwise the user will not be able to access this screen.
- Make sure you have the “Manage Attendance Settings” permission under the “Employees” section.
Steps to Add an Attendance Flag
- From the side menu, click “Attendance”, then go to “Settings”.
- On the “Attendance Settings” screen, click “Attendance Flags”.
- Click the “+ New Attendance Flags” button.
- Enter the new attendance flag’s data:
- Name (required, unique).
- Color (optional): choose a color from the available list.
- Description (optional).
- Status (required): choose Active or Inactive.
- Shifts (optional): select one or more shifts to link the flag to.
- Condition (required): enter the condition that activates the flag.
- Formula (required): enter the formula used to calculate the value when the condition is met.
- While typing the Condition or Formula, the system displays a list of the available attendance variables, and you can select the required variable directly while typing.
- Click the “Save” button.
- Once the operation is successful, a confirmation message will appear, and you will be automatically redirected to the view screen of the added flag’s details.
How the System Works
- The Condition determines whether the attendance flag applies to a specific attendance record or not, based on the entered values (such as the actual check-in time compared to the official shift time).
- The Formula is used to calculate the resulting value (such as the number of late or early departure hours, for example) when the condition is met.
- When the flag is saved, the system first validates the entered data before actually creating it in the system.
- Once saved successfully, the new flag becomes immediately available for use and can be linked to attendance records and shifts.
Validation Rules
- Make sure no required field, such as Name, Condition, or Formula, is left empty; otherwise, the addition will not be accepted, and an error message will appear below the empty field: “This is a required field and could not be empty“.
- Make sure you don’t enter a name that’s already used by another attendance flag when adding a new one; otherwise, the addition will not be accepted, and a general error message will appear at the top of the page: “The given data was invalid, Please Check Errors Below”, along with a more specific error message below the Name field explaining the reason: “This name already exists.”
