Edit Attendance Flag

This feature allows an HR user to edit attendance flags after they have been created, including the name, description, color, condition, and formula, in order to maintain the accuracy of the attendance flags used to classify employee records.

Before You Begin

  • Make sure the “Employee Attendance” setting is enabled under “Human Resources Management” settings; otherwise, the user will not be able to access this screen.
  • Make sure you have the “Manage Attendance Settings” permission under the “Employees” section.
  • The attendance flag you want to edit must already exist in the Attendance Flags screen.

Steps to Edit an Attendance Flag

  1. From the side menu, click “Attendance”, then go to “Settings”.
  2. On the “Attendance Settings” screen, click “Attendance Flags”.
  3. In the row of the attendance flag you want to edit, go to the actions menu and click “Edit”.
  4. On the edit attendance flag screen, edit the required fields: Name, Description, Color, Condition, and Formula.
  5. Once you’ve finished editing the flag as needed, click “Save”.
  6. After the operation is successful, a confirmation message will appear, and you will be automatically redirected to the attendance flags list screen.

How the System Works

  • When the edit form is opened, the system retrieves the current attendance flag’s information and displays it in the fields automatically.
  • When “Save” is clicked, the system first validates the entered data before applying any changes.
  • Once validation succeeds, the attendance flag’s information is updated immediately, and you are redirected to the attendance flags list screen.
  • The condition and formula are used later by the system to determine whether attendance records qualify for this flag, based on the entered values.

Validation Rules

  • Make sure no required field, such as Name, Condition, or Formula, is left empty; otherwise, the edit will not be accepted, and an error message will appear below the empty field: “This is a required field and could not be empty”.
  • Make sure you don’t enter a name that’s already used by another attendance flag when editing the selected flag; otherwise, the edit will not be accepted, and a general error message will appear at the top of the page: “The given data was invalid, Please Check Errors Below” along with a more specific error message below the Name field explaining the reason: “This name already exist”.
