Confirming and Saving Extracted Bank Statement Transactions
After reviewing the bank statement transactions extracted by AI, the system allows you to confirm and save all transactions at once, along with displaying a comprehensive summary of what was imported. This guide explains the entry points for this feature, what happens on save, the content of the success screen, and how to close the process without saving.
Entry Points
- From the “Treasuries & Bank Accounts” screen, open the desired bank account.
- Tap the “Import Bank Statement” button shown at the top of the account page, then click “AI Upload”.
- The system opens the “Upload Scanned Documents” screen, with the bank account already set automatically (it cannot be changed from this screen).
- After uploading files and clicking “Start Processing”, the system processes the files using AI, then automatically moves to the transactions review screen, where the process of confirming and saving is completed.
What Happens Upon Saving
When you tap “Confirm & Save“, the system processes all rows according to their status as follows:
- New rows: a new transaction record is created on the bank account.
- Updated rows: the existing unmatched record is overwritten with the new data.
- Invalid rows inserted as new: a new record is created with the original reference ID, plus a -DUP suffix.
- Ignored rows: skipped entirely — nothing is created or changed.
All created and updated records appear immediately on the “Bank Statement” tab, shown with a “Not Matched” status, since the import process is separate from the matching process.
Note: A record-level log entry is triggered for each row once this step is completed.
Success Screen
The success screen is shown after the save completes, titled “Import Completed Successfully”, and contains:
Three Count Cards
- New Transactions Imported.
- Existing Transactions Updated — always shown and displays 0 when the “Update Existing Records” option was off.
- Transactions Ignored.
Statement Summary Section
- Total Transactions.
- Total Deposits.
- Total Withdrawals.
- Net Change.
Primary Action
- Go to Bank Account button: closes the module and takes you directly to the Bank Statement tab, where the imported transactions appear ready for matching.
Closing Without Saving
The Close (X) button remains visible at all times from the moment the module opens until the success screen is reached.
- If you tap X before reaching the success screen, a warning message titled “Discard All Progress?” appears:
“If you close now, all uploaded files and progress will be discarded. You will need to start over.”
- The message displays two options:
- Keep Working: closes the warning and keeps you inside the module to continue working.
- Close & Discard: closes the module permanently, discarding all progress made.
When “Close & Discard” is selected:
- The session is considered discarded, and a “Discarded” entry is created in the session activity log.
- The AIC coin report row is updated to “User Discarded Session” status.
- AIC coins already consumed are not refunded.
Note: Once the success screen is reached, tapping either X or “Go to Bank Account” closes the module immediately with no warning, since the save has already been completed.
Handling Invalid Transactions Before Saving
- If the file contains invalid transactions, the user can use the “Insert All Invalid Items as New Items” or “Ignore All Invalid Items” option before tapping Confirm & Save.
- If some transactions cannot be read at all, a warning dialog titled “Unreadable Transactions Will Be Ignored” appears, listing the affected reference IDs, and giving the option to Cancel or Continue to insert the remaining invalid transactions as new records.
- The Confirm & Save button remains disabled as long as there are unresolved invalid transactions (i.e., not yet inserted or ignored).
Validation Rules
- No records are created or modified until the user taps Confirm & Save.
- Ignored rows produce no effect on existing records.
- Invalid rows inserted as new are always created with a -DUP suffix on the reference ID.
- The “Existing Transactions Updated” card automatically shows 0 if the “Update Existing Records” option was OFF during processing.
- The Confirm & Save button remains disabled until all invalid transactions in the file have been resolved.
Notes
- The system’s existing activity log reflects the confirm-and-save operation normally, with no change to its usual behavior.
- AIC coins consumed during processing are never refunded, whether the save completes successfully or the session is discarded.
- Importing transactions does not automatically match them; after import, transactions appear as “Not Matched,” and can be matched manually using the “Match” button on the bank account screen.
