When Is an Existing Bank Statement Record Updated Instead of Creating a New One?
An existing record is updated instead of creating a new record only when all of the following conditions are met:
- The reference ID extracted from the transaction already exists among the records of the same bank account.
- The existing record is not yet matched to a journal entry.
- The “Update Existing Records” option was enabled when the files were uploaded.
In this case, all extracted fields (Reference ID, Date, Description, Deposit, and Withdrawal) are completely overwritten with the new values from the uploaded file, and the row is assigned the “Updated” status.
Notes:
- If the reference ID already exists but is already matched to a journal entry, the record is not updated. Instead, the row is classified as “Invalid” with the “Already matched to a journal entry” sub-type. You must resolve this row manually by either inserting it as a new record or ignoring it before completing the save process.
- The “Updated” column in the count summary at the top of the screen is displayed only when the “Update Existing Records” option is enabled. If the option is disabled, all transactions are treated as entirely new records, regardless of whether a matching reference ID exists.
