Undo the Custody Closure

If you closed an employee custody and need to reverse that for any reason, you can restore it to its previous state. This guide explains how to undo the closure and what happens based on the custody’s status before it was closed.

Before You Begin

  • You must have the permission to edit employee custodies in order to perform this action.
  • The “Undo Closure” button will only appear if the custody status is currently set to “Closed.”

Steps to Undo the Custody Closure

  • From the main menu, click Finance.
  • Select Employee Custody.
  • Open the required custody from the list.
  • Click the “Undo Close” button.
  • A confirmation message will appear: Are you sure you want to cancel the closed status? The custody will be restored to its previous state.”
  • Click “Confirm” to complete the action.

What Happens After Confirming?

The system behaves differently depending on the custody’s status before it was closed.

Scenario 1 — If the custody was settled before closure:

  • The custody status changes from “Closed” back to “Settled.”
  • No new journal entries are created.
  • No balances are affected.

Scenario 2 — If the custody was open and cash was returned before closure:

  • The custody status changes from “Closed” back to “Open.”
  • The remaining balance is restored to exactly what it was before the closure.
  • The journal entries that were created when the cash was returned are deleted, moving the amount back to the employee custody account.

Activity Log

All closure reversal actions are automatically recorded in the custody’s activity log, including the action details, the user who performed it, and the date of execution.
