Viewing an Employee Custody

This screen displays the complete details of an employee custody, including its status, balances, and transaction history.

This screen is only accessible to users who have the permission to view employee custodies.

How to Access

  • From the main menu, click Finance.
  • Select Employee Custody.
  • From the custodies list, click the View action next to the required custody.
  • Or you will be redirected to this screen automatically after creating or editing a custody.

Available Actions

  • Edit: Visible to users who have the edit permission — only available if the custody status is “Open.”
  • Delete: Visible to users who have the delete permission — only available if the custody status is “Open” and no settlements have been recorded.
  • Add Settlement: Only available if the custody status is “Open.”
  • Close Custody: Only appears if the remaining balance equals zero and the custody status is “Settled.”
  • Return Cash: Only available if the remaining balance is greater than zero.
  • Classify as Bad Debt: Only available if the remaining balance is greater than zero.

Custody View Screen Tabs

The screen contains four tabs:

1. Custody Details Tab

Displays all custody data in read-only mode, divided into two sections:

Custody Information:

  • Employee Name — Code — Department
  • Custody Code
  • Custody Date
  • Custody Amount
  • Currency
  • Remaining Balance
  • Status (Open / Settled / Closed)
  • Description / Purpose

Accounting Information:

  • Linked Cash / Bank Account
  • Linked Employee Custody Account

2. Transactions Tab

Displays all journal entries associated with the custody in chronological order, following the same display format used for accounting asset movements.

3. Settlements Tab

Displays a table of all settlements recorded on the custody, with the following columns:

  • Settlement Number
  • Date
  • Settlement Type
  • Description
  • Settlement Amount
  • Actions (View — Edit — Delete)

Settlement display rules:

  • All settlements are displayed in ascending chronological order.
  • The table is in read-only mode.
  • If no settlements exist, the system displays a message indicating that no settlements have been recorded.

4. Activity Log Tab

Displays a chronological audit trail of all actions performed on the custody since it was created.

Notes

  • The entire screen is in read-only mode.
  • Unauthorized users cannot access this screen.
