What Does the Partially Distributed Flag on a Journal Mean?

The Partially Distributed flag appears on the journal’s view page in Journal Entries when part of the journal’s value has been distributed and another part is still available for distribution.

The flag is calculated by comparing the total amount distributed from the journal’s debit accounts with the journal’s total debit, whether the distribution was:

  • On the cost of a requisition’s products through Distribute Expenses.
  • On the indirect costs of manufacturing orders.

Example: a journal has two debit accounts, the first for 1000 and the second for 500 (total debit 1500):

What was distributed Journal flag
Nothing was distributed. No flag appears.
Only the first account was fully distributed (1000). Partially Distributed
400 of the first account and 500 of the second account were distributed. Partially Distributed
Both accounts were fully distributed (1500). Fully Distributed

While the journal is partially distributed, its remaining accounts appear in the distribution list with their available amount only, so you can complete its distribution on another requisition or on indirect costs. Once it’s fully distributed, the flag changes to Fully Distributed, and the journal no longer appears in the distribution list.

🛈

Note: A journal with any distribution, partial or full, can’t be deleted. Delete its related distributions first, then delete the journal.
