Importing Products to the Stocktaking Sheet

  1. From the main menu, click on “Inventory”.
  2. Select from the menu “Manage Stocktakings”.
  3. Click on the “New” button at the top right corner.
  4. Set the stocktaking sheet data:
    • Warehouse: Select the desired warehouse to stocktake.
    • Number: It’s a serial number that distinguishes the stocktaking sheet. The number can be changed, and the format of the serial can be controlled through “Serial Numbering Settings” in the account.
    • Date: Set the stocktaking operation date.
    • Notes: Write the notes related to the stocktaking operation if any.
  5. Click on the “Do Stocktaking” button.
  6. Click on “Import“, and follow the steps as follows:
  7. Select the products file you want to import into the stocktaking list by clicking on the “Choose File” button under “CSV File“. Please ensure the file format is CSV.
  8. Under “Delimiter“, select one of the system-supported delimiters from the dropdown menu. They are:
    • Comma Separated
    • Semicolon Separated
    • Tab Delimited
      • Note: Please contact the technical support team of the “Daftra” software for more information about the supported file formats and how to prepare them for upload to the system.
  9. Click on the “Next Step” button and match each column inside the file with the corresponding system fields as follows:
    • Product
    • Unit Name
    • Physical Count
  10. Click on the “Import” button located at the top right of the page.
    • The system will display a list of imported products.
  11. Click on the “Done” button.
  12. Click on the “Adjust” button.
  • The system will generate addition and withdrawal warehouse requisitions to address the deficit or surplus in the inventory list, and the total value will be transferred to the “Cost of Sales” account. For more details, see the guide “Adding a Stocktaking Sheet“.
