Edit an Employee Custody
This screen allows you to edit the data of an existing employee custody while maintaining the accuracy of the associated financial data.
This screen is only accessible to users who have the permission to edit employee custodies.
How to Access
- From the main menu, click Finance.
- Select Employee Custody.
- From the custodies list, click the Actions ⋮ menu next to the required custody and select Edit.
- Or from the custody view screen, click the Edit button.
Steps to Edit an Employee Custody
From the edit screen, you can modify the following fields:
- Employee: The employee linked to the custody. (Required — disabled if the remaining balance is less than the custody amount)
- Custody Code: Auto-generated by the system and cannot be edited. (Required — disabled if the remaining balance is less than the custody amount)
- Date: The custody issuance date. (Required — disabled if the remaining balance is less than the custody amount)
- Settlement Due Date: The expected date for settling the custody. (Optional — disabled if the remaining balance is greater than zero)
- Amount: The financial amount of the custody — must be greater than zero. (Required — disabled if the remaining balance is less than the custody amount)
- Remaining Balance: Automatically calculated by the system — defaults to the custody amount. (Display only)
- Currency: The custody currency — defaults to the account currency. (Required — disabled if the remaining balance is less than the custody amount)
- Employee Custody Account: The debit account in the journal entry. (Required — disabled if the remaining balance is less than the custody amount)
- Cash / Bank Account: The credit account in the journal entry from the chart of accounts. (Required — disabled if the remaining balance is less than the custody amount)
- Payment Method: The method used to disburse the custody amount to the employee. (Optional — disabled if the remaining balance is less than the custody amount)
- Description: A description or additional notes related to the custody. (Optional — always editable)
- Attachments: Supporting documents. Accepted formats: png, jpeg, pdf, docx, xls — maximum 10 MB. (Optional — adding new attachments is only available if the remaining balance is less than the custody amount)
Click Save to apply the changes, or click Cancel to go back to the custodies list without saving.
How the System Behaves Upon Saving
If no settlements exist:
- All fields are editable.
- If the custody amount, employee, or any of the accounts are modified, the associated journal entry is automatically updated to reflect the changes.
If a prior settlement exists:
- Financial fields become non-editable.
- The only editable field is the Description / Purpose.
Validation Rules
- The custody amount must be greater than zero.
- Financial fields — Employee, Custody Amount, Currency, Payment Method, Cash / Bank Account, and Employee Custody Account — are automatically disabled when a settlement is linked to the custody.
Activity Log
All edits made to the custody are automatically recorded in the Activity Log tab for future reference. The journal entry is automatically updated when any financial data is modified, with no manual intervention required.
