Viewing a Financial Period
The Financial Period view screen displays all period details, its status, and the profit or loss result after closing, along with direct links to the accounting entries generated upon closing and the period’s activity log.
Before You Begin
- Viewing financial periods requires the “View Closed Periods” permission.
- Closing, editing, and deleting actions require the “Manage Closed Periods” permission.
- Accounting entry links are only visible to users with the “View All Journals” permission.
Steps to View a Financial Period
- Click on the “Accounting” menu.
- Click on “Accounting Settings”, then navigate to “Financial Periods.”
- Click on the financial period you want to view.
- The screen displays the “Financial Period Information” section with the following details:
- Start Date: The start date of the financial period.
- End Date: The end date of the financial period.
- Description: The descriptive note entered when the period was created.
- Status: The financial period status (Open / Closed).
- Profit or Loss Amount: This field appears only when the period status is “Closed” and displays the carried profit or loss value from the Profit & Loss entry:
- Profit is displayed in green followed by the amount and currency.
- Loss is displayed in red followed by the amount and currency.
- Branch: Displays the branch the financial period belongs to. This field only appears if the Branch feature is enabled on the account.
- If the financial period is closed, three links to the accounting entries generated upon closing appear side by side in the same section:
- Profit & Loss Entry
- Closing Balance Entry
- Opening Balance Entry
Click any of the three links to navigate directly to the full entry details view screen in the same tab.
- From the “Activity Log” tab you can track all actions performed on the financial period (closing, editing, deleting).
- From the view screen you can perform the following actions: “Close”, “Edit”, or “Delete.”
How the System Works
- The system derives the profit or loss value from the retained earnings line in the Profit & Loss entry — if retained earnings appear on the credit side of the entry they are considered profit, and if they appear on the debit side they are considered a loss.
- If the user has access to more than one branch, only financial periods belonging to their accessible branches are displayed.
- Deleting a financial period is recorded in the account’s general activity log.
Validation Rules
When attempting to edit, delete, or close a financial period that belongs to a branch other than the one it was created from, an error message appears indicating that the action can only be performed from branch [branch name].
Notes
- Accounting entry links do not appear for financial periods with an “Open” status, as these entries are only generated upon closing.
- If a specific entry was not generated for any reason (such as an incomplete closing process or the entry being deleted), that particular link is hidden while the remaining links continue to display normally.
- If the user does not have the “View All Journals” permission, the “Financial Period Information” section remains visible without the entry links.
