Viewing the Financial Periods List

The Financial Periods list displays all periods added to the account with their details, status, and profit or loss results for closed periods, along with filtering, sorting, and action options for each period.

Before You Begin

  • Viewing the list requires the “View Closed Periods” permission.
  • Closing, editing, and deleting actions require the “Manage Closed Periods” permission.

Steps to View the Financial Periods List

  1. Click on the “Accounting” menu.
  2. Click on “Accounting Settings”, then navigate to “Financial Periods.”
  3. The list displays financial periods through the following columns:
    • Period: Displays the financial period range in a shortened format based on its duration (full year, quarter, month, or date range).
    • Description: The descriptive note entered when the period was created.
    • Status: The financial period status (Open / Closed).
    • Profit or Loss Amount: Appears for closed periods only — profit is displayed in green and loss in red, followed by the amount and currency.
    • Branch: Displays the branch the financial period belongs to. This column only appears if the Branch feature is enabled on the account.
  4. You can filter the list using the following filters:
    • Start Date: Filter periods by their start date.
    • End Date: Filter periods by their end date.
    • Status: Select from the dropdown: “All,” “Open,” or “Closed.”
    • Branch: This filter only appears if the Branch feature is enabled. It displays the branches available to you based on your permissions, with “All” selected by default.
  5. You can sort the list in ascending or descending order by: Start Date, End Date, or Creation Date.
  6. Click “Reset” to clear all search and filter criteria and display the full list again.
  7. From the action options next to each period you can perform: “View”, “Close”, “Edit”, or “Delete.”

How the System Works

The “Period” column automatically displays the time range in a shortened format based on the period duration:

  • Full year (1/1 to 31/12): displayed as “YYYY.”
  • Quarter: displayed as “Q1 YYYY” and so on for all four quarters (Q1: 1/1–31/3, Q2: 1/4–30/6, Q3: 1/7–30/9, Q4: 1/10–31/12).
  • Full month (first to last day of the month): displayed as “Month YYYY” such as “January 2026.”
  • Any other range: displayed as “Start Date – End Date.”

The system derives the profit or loss value from the retained earnings line in the Profit & Loss entry — if it appears on the credit side it is considered profit, and if it appears on the debit side it is considered a loss.

If the user has access to more than one branch, the list only displays financial periods belonging to their accessible branches.

Validation Rules

When attempting to edit, delete, or close a financial period that belongs to a branch other than the one it was created from, an error message appears indicating that the action can only be performed from branch [branch name].

Notes

  • If no financial periods have been added yet, the message appears: “No financial periods have been added yet.”
  • If no results match the search and filter criteria, the message appears: “No results found, try changing the search criteria.”
