Viewing and Searching the Purchase Orders List
The system allows you to view all purchase orders in a unified list with the ability to search, filter, and sort for quick access to any order.
Before You Begin
- Make sure you have the permission to view purchase orders under the Purchases permissions in your role.
Steps to View the List
- From the main menu click “Purchases“.
- Click “Purchase Orders“.
- A list of all purchase orders appears sorted from newest to oldest.
List Elements
Each row in the list displays the following information:
- Code: The automatic serial number of the order.
- Supplier: The name of the supplier associated with the order.
- Date: The order creation date.
- Net Total: The order value in the account currency.
- Status: The current order status — Pending, Cancelled, Invoiced, Partially Invoiced.
- Tags: Tags added to the order.
- Document: Documents attached to the order.
Search and Filter
The basic filters appear directly at the top of the list:
- Code: Search by a specific order code.
- Date From / To: Set an order date range.
- The Currency: Filter by order currency.
- Status: Filter by order status — Pending, Cancelled, Invoiced.
- Tags: Filter by tags added to the orders.
- Supplier: Search by supplier name, number, or email.
To view additional filters click “Advanced Search“:
- Type: Filter by order type — Credit Notes.
- Follow-up Status: Filter by order follow-up status.
After selecting the filters click “Search” to apply them, or click “Reset” to clear all filters and return to the full view.
Sorting Results
Click the “Sort By” button at the top right of the table to sort by:
- Code: Ascending order.
- Date of Creation: Ascending order.
- Date: Ascending order.
Available Actions on Each Purchase Order
Click the ··· icon next to any order to access the following actions:
- View: Open the purchase order details page.
- Edit: Edit the order details.
- Clone: Create a new copy of the order with the same data.
- Delete: Permanently delete the order.
- Print: Print the order directly.
- PDF: Download the order as a PDF.
- Email To Supplier: Send the order to the supplier via email.
Bulk Actions
You can select more than one purchase order at once using the checkboxes then execute the following bulk actions from the actions menu:
- Print PDF: Download a PDF for all selected orders.
- Export: Export the selected orders to an Excel file.
- Delete: Delete the selected orders in bulk.
To select all click the checkbox in the table header and choose:
- All (Current Page): Select only the records on the visible page.
- All Filtered (All Pages): Select all records matching the selected filters.
Notes
- Clicking on the order code or anywhere in the row takes you to the order details page.
- A new purchase order can be created directly from this page by clicking the “Add Purchase Order” button at the top right of the screen.
- The total number of results appears at the top of the list. You can navigate between pages using the navigation buttons or by entering the page number directly.
