Viewing and Searching the Purchase Requests List
The system allows you to view all purchase requests in a unified list with the ability to search, filter, and sort for quick access to any request.
Before You Begin
- Make sure you have the permission to view purchase requests under the Purchases permissions in your role.
Steps to View the Purchase Requests List
- From the main menu click “Purchases“.
- Click “Purchase Requests“.
- A list of all purchase requests appears sorted from newest to oldest.
List Elements
Each row in the list displays the following information:
- Code: The automatic serial number of the request.
- Title: The purchase request title.
- Request Date: The date the request was submitted.
- Required By: The date by which the request is required to be completed.
- Status: The current request status — Pending, Approved, Rejected.
- Attachment: Documents attached to the request.
Search and Filter
The basic filters appear directly at the top of the list:
- Follow-up Status: Filter by request follow-up status.
- Staff: Search by staff member name, code, email, department, branch, or country.
- Code: Search by a specific request code.
- Title: Search by request title.
- Request Date From / To: Set a request submission date range.
- Required By From / To: Set a required by date range.
To view additional filters click “Advanced Search“:
- Status: Filter by request status — Pending, Approved, Rejected.
After selecting the filters click “Search” to apply them, or click “Reset” to clear all filters and return to the full view.
Sorting Results
Click the “Sort By” button at the top right of the table to sort by:
- Date of Creation: Ascending order.
- Code: Ascending order.
- Request Date: Ascending order.
- Required By: Ascending order.
Available Actions on Each Purchase Request
Click the ··· icon next to any request to access the following actions:
- View: Open the purchase request details page.
- Edit: Edit the request details.
- Clone: Create a new copy of the request with the same data.
- Delete: Permanently delete the request.
Bulk Actions
You can select more than one purchase request at once using the checkboxes then execute the following bulk actions from the actions menu:
- Export: Export the selected requests to an Excel file.
- Delete: Delete the selected requests in bulk.
To select all click the checkbox in the table header and choose:
- All (Current Page): Select only the records on the visible page.
- All Filtered (All Pages): Select all records matching the selected filters.
Notes
- Clicking on the request code or anywhere in the row takes you to the request details page.
- A new purchase request can be created directly from this page by clicking the “Add Purchase Request” button at the top right of the screen.
- The total number of results appears at the top of the list. You can navigate between pages using the navigation buttons or by entering the page number directly.
